Job Duties
Provides program, administrative, and clerical support to the staff members of the Sex Offender Residential Treatment (SORT) Program.
Responds to instructions and feedback of supervisors in a constructive manner in order to improve personal performance.
Provides administrative oversight of non-clinical program activity including, but not limited to, inmate records management, inmate movement, and referral processing/assignment, coordination of admissions/discharges in compliance with OPs, DBHDS Licensure requirements and other required standards. Supervises offender workers if needed.
Is responsible for tracking and processing SORT program referrals.
Provides secretarial and clerical duties for SORT program staff and participates as a non-clinical member of the SORT program team.
Develops, inputs, and organizes program data into comprehensive database for statistical collection, retrieval, and analyses. Maintains database of inmate information.
Monitors office supply inventory and generates purchase requests when items are required. Maintains library of books, periodicals, videos, and resource materials for program offenders. Maintains separate library of books, professional journals, videos, and resource materials for staff.
Maintains Department of Behavioral Health and Development Services (DBHDS) licensing manual and documentation.
As needed, develops program supply orders. Tracks arrival of orders and supervisor of problems or discrepancies. Reviews invoices from vendors and contractors and coordinates the process accordingly.
Minimum Qualifications
Working knowledge of office practices, procedures, and standard office equipment (computers, fax machine, typewriters, etc.).
Knowledge of computer processing and software such as Microsoft Word, Access, PowerPoint, and Excel.
Knowledge of rules and regulations related to records storage, maintenance, release, and confidentiality.
Ability to build and manipulate database / information management programs, including Microsoft Access, and website technology.
Demonstrated ability to follow written and oral directives.
Demonstrated ability to create, retrieve, and manage data files. Knowledge of DOC policy and procedure, American Correctional Association (ACA) standards, and Department of Behavioral Health and Developmental Services (DBHDS) licensure requirements.
Knowledge of DOC and Department of Accounts (DOA) policies and procedures including the Virginia Prompt Payment Act.
High School diploma or equivalent.
Post-high school training in computer software and data manipulation or related advanced degree preferred.
Experience in maintaining records, managing data sets, and general clerical skills.
Training and / or experience in supervision of staff preferred.
