Job Duties

The Academic Program Assistant will report to the Associate Director for Academic Programs and Instructional Sites and be responsible for the following functions, tasks, and responsibilities:
•review and process correspondence (electronic and hard copy) and establish and maintain files related to Academic Affairs processes, including (but not limited to) academic program actions, organizational changes, and special projects;
•process documents to include downloading documentation, uploading documents to the website, printing, and collating;
•sort and track information based on various parameters and categories using spreadsheets;
•assist professional staff in Academic Affairs by conducting research and gathering information about SCHEV processes, actions, and Council business;
•perform basic office functions, including processing mail, answering telephones; creating files, and file room maintenance;
•plan and schedule small and large meetings, and assist as needed in the planning and holding of Agency events;
•collaborate with other sections of SCHEV as needed to support the achievement of agency goals.

Minimum Qualifications

•Experience demonstrating the ability to carry out tasks and assignments with close attention to detail.
•Experience working with simple datasets and spreadsheets.
•Experience working collaboratively with colleagues.
•Work experience or knowledge which demonstrates understanding of higher education.
•Experience demonstrating strong organizational skills, follow instructions, work independently on projects; and think creatively to solve problems.
•Experience demonstrating proficiency in basic office procedures, including but not necessarily limited to filing paper and electronic documents, preparing correspondence, and providing customer service via in person, telephone, or by email.
•Ability to communicate effectively in both oral and written form.

Special Instructions

This position may work up to 29 hours a week, but no more than a maximum of 1500 working hours allowed in a 12-month period from May 1 to April 30. This position does not possess benefits.
