Job Duties

The Exhibitions Assistant provides part-time project coordination and administrative support to the Exhibition Planning Department at the Virginia Museum of Fine Arts (VMFA). Reporting to the Senior Manager of Exhibition Planning, this position supports multiple Exhibition Project Managers and contributes to the planning, documentation, and execution of exhibitions, collection installations, gallery rotations, and capital-related projects across the museum.

The Exhibitions Assistant plays a critical role in maintaining organization, documentation, and communication across complex, multi-departmental projects. This position supports established exhibition planning systems and workflows and assists in ensuring projects remain on schedule, well documented, and aligned with institutional standards.

Minimum Qualifications

Knowledge
• Familiarity with working in an exhibition or museum environment preferred.
• Working knowledge of administrative and organizational practices in a project-based environment.
• Basic understanding of museum operations, exhibition planning, or related workflows.
• Knowledge of standard office practices, documentation systems, and record management.
• Awareness of collections care, safety, and security considerations in gallery and collection environments.

Skills
• Excellent organizational, communication, and interpersonal skills.
• Strong time-management skills with the ability to multitask in an active, project-based environment.
• High attention to detail and accuracy in documentation and follow-through.
• Proficiency with Microsoft Office applications (Word, Excel, Outlook).
• Ability to conduct library and archival research, background writing, and information gathering in support of exhibition projects.
• Ability to learn and effectively use project management and document management systems (e.g., Asana, SharePoint, TMS).

Abilities
• Ability to work independently while also collaborating closely with a team.
• Ability to manage multiple priorities and shifting deadlines with professionalism and reliability.
• Demonstrated ability to support research, planning, development, and administrative aspects of exhibition projects.
• Ability to follow established procedures while exercising good judgment and initiative.
• Proactive approach to work with a professional demeanor.
• Ability to maintain confidentiality and handle sensitive project information appropriately.

Additional Considerations

Demonstrated interest and experience working within the field of exhibitions, including research, planning, development, and exhibition administration.
