Job Duties

Performs a wide variety of duties associated with the daily operations of the Complaint Analysis and Resolution Intake Section (“CAR Intake”). In the completion of each responsibility, demonstrates knowledge and understanding of Department, Compliance and Investigations Division (“CID”), and CAR policies and procedures, board laws and regulations, and programs for all professions and occupations within the purview of the Agency. Daily operations include:


-- Monitoring the CAR email inbox and x8504 Complaint Phone Line and voice mailbox, including when appropriate advising on Department jurisdiction and providing guidance on how to file a written complaint;



-- Performing the initial docketing of all written complaints in the Electronic Tracking System (“ETS”), including searching the subject of the complaint’s license status to appropriately categorize the complaint as disciplinary, unlicensed, or real estate appraiser, to ensure appropriate prioritization of subsequent complaint review;


-- Conducting analytical review of complaints, requiring interpretation and application of Department statutes, regulations, policies, and procedures to the facts and evidence presented, to determine whether further CID proceedings are required;


-- Accurately preparing and issuing appropriate correspondence following review of complaints, including Acknowledgement Letters, Allegation Packages, and Closing Letters;


-- Accurately completing the Final File Set-up of complaints for transmission to other sections of the Department; and


-- Accurately updating ETS and other case tracking charts used by the CAR Intake Section upon completion of case processing and review

Minimum Qualifications

- Demonstrated knowledge of the DPOR and CID policies and procedures.
- Proven ability to interpret complex statutes, rules, and regulations.
- Established ability to research and analyze information, summarize facts, and reach rational and consistent conclusions.
- Ability to interact with the public, staff, and Board members.
- Strong knowledge of the Administrative Process Act (“APA”).
- Demonstrated Knowledge of automated systems and related computer skills.
- Ability to prepare documents or official correspondence and to answer questions and communicate information to the public and other members of the staff relating to the regulatory process and current operating policies and procedures.
- Strong oral and written communication skills.
- Proven ability to manage a large case load.
- Excellent organizational skills, word processing skills, and proofreading skills.
- Ability to work independently with limited supervision, to coordinate multiple schedules, priorities, tasks, and deadlines, and to demonstrate initiative in meeting the Division’s goals.
