Job Duties

The Science Museum of Virginia is currently seeking an enthusiastic and detail-oriented part-time Event Setup Specialist to help bring our events to life! This role is perfect for someone who enjoys creating memorable experiences, working with a dynamic team, and contributing to events that engage and inspire Museum guests.

In this role, you will oversee the installation, operation, and breakdown of audio-visual equipment and event rental fixtures while maintaining the highest standards of safety and performance. You’ll troubleshoot equipment, coordinate closely with clients to meet event specifications, and serve as a central point of support for on-site vendors, caterers, and internal teams. You will also help maintain the Museum’s event inventory by conducting annual refreshes of rental equipment, identifying issues, and recommending updates to the Special Events Supervisor. Beyond events, this position supports the daily functions of the Museum’s Operations team, contributing to the smooth and efficient operation of one of Virginia’s most dynamic cultural institutions.

Please note that this is a part-time position and hours will vary each week based on operations but no more than up to 29 hours a week on average with a maximum of 1500 hours in a 12-month period. No state benefits are provided. Interested candidates must apply at https://jobs.virginia.gov/

Minimum Qualifications

The ideal candidate will be a dependable, hands-on professional who possesses experience working with basic audio-visual equipment such as microphones, projectors, and portable sound systems. They will be able to interpret room diagrams, confidently arrange furniture and equipment with strong manual dexterity to meet specific event requirements while following established safety guidelines and equipment handling procedures. This role calls for someone who is reliable, hardworking, and able to stay focused to complete event setups and breakdowns efficiently with minimal supervision.

Candidates should have strong business acumen and be comfortable communicating and collaborating with event planners, staff, vendors, and guests while maintaining a polite, helpful, and customer-focused attitude. You should be able to plan and execute room layouts based on written instructions or client requests and assist a wide range of guests with basic technology needs. Attention to detail and the ability to work independently in a fast-paced environment are essential. Strong customer service experience and knowledge of guest services principles, practices and procedures is required. Solid computer skills and fluency with everyday office software like G Suite used for scheduling and communication is required. A valid Virginia driver’s license is required. First Aid/CPR Certification is required or you must be willing to obtain upon hire. The role also involves tracking event equipment inventory and following established check-out procedures. This position requires availability to work evenings, weekends, and holidays as needed.

Additional Considerations

Previous event experience is a plus.
