Job Duties
The Assistant Vice President (AVP) for Administration serves as a senior leader within the Division of Finance and Administration and provides strategic, operational, and administrative leadership in support of the Vice President for Finance and Administration (VPFA). The Assistant Vice president of Administration functions as a key advisor, integrator, and representative of the VPFA, ensuring effective coordination, execution, and continuous improvement of division-wide operations.
The Division of Finance and Administration includes the following functional areas: Controller, Facilities Management, University Police Department, Auxiliary Enterprises, Procurement Services, and Planning & Budget.
- Assists the Vice President in coordinating the activities of major departments within the Division toward achieving departmental, division and university goals and objectives; provides general administrative operations support to the Vice President for the Division.
- Advises the Vice President on all matters pertaining to the management and operation of the Division; Oversees and coordinates day to day operations of the Office including management of staff, scheduling and prioritizing work assignments and implementation of effective operating policies, procedures and systems; assists the Vice President for Finance and Administration in providing leadership and oversight for key financial and business functions within the University serving a wide range of customers.
- Serves as liaison to the President' s staff and Vice President' s directors and staff within the Division of Finance and Business; assists Vice President in staffing the Board of Visitors' Finance Committee and preparing meeting materials; provides staff support to the Finance Committee of the NSU Board of Visitors; undertakes special projects and other assignments from the Vice President; assists Vice President in dealing with faculty, staff and student issues; provides support to the Vice President at meetings, special events, on committees and various functions; provides support to the Vice President through coordination of division activities, programs and projects; anticipates problems, critical issues, and opportunities as they arise and advises the Vice President; prioritizes, manages and meets simultaneous deadlines internally and in response to external entities.
- Prepares and presents reports and brief the Vice President; develop positions statements; research and draft speeches, articles, policy statements; assists the Vice President in preparing for meetings, presentations, speeches, reports; represents the Vice President at meetings and special events, on boards or committees and at various functions; assists Vice President with strategic planning, prioritization of goals and objectives, and monitoring progress of actions plans; prepares briefing materials, and monitors staff follow¬ up assignments; collects and analyzes data for Vice President' s review; writes speeches and develops presentations for various constituencies.
- Serves as the primary point of contact on matters directed to the Office the Vice President by University and community constituents; researches and prioritizes incoming issues and determines appropriate course of action, referral and/or response; works with university leadership, external constituents, faculty, staff and students to resolve problems addressed to the Vice President.
- Assist the Vice President in establishing and maintaining current financial policies and procedures as well as capital and infrastructure improvements for all units, divisions and departments of the University; recommend updates to policies and procedures governing the University Community; Develops, implements and reviews policies and procedures related to Finance and Administration operations and activities and institutional support functions; Develops and interprets policies and procedures and provides policy guidance to staff on Finance and Administration policies and procedures.
- Reviews all correspondence to the Vice President and as appropriate, summaries and prepares responses and/or redirects to the appropriate division staff or university officials; Receives, screens, evaluates and determines appropriate response to all written correspondence received by the Office of the Vice President and prepares written responses as appropriate.
- Acts under direction of, and on behalf of, the Vice President to lead implementation of strategic financial, budgetary, and administrative initiatives; and gathers, investigates, researches and analyzes and/or studies information affecting university, intradepartmental or interdepartmental operations.
- Demonstrates continues effort to improve operations, decrease turnaround times, streamline work processes and work cooperatively and jointly to provide quality seamless customer service; Aids the Vice President by studying methods and procedures in the office and by recommending changes in management and administration.

Minimum Qualifications
- Bachelor’s degree or equivalent combination of education and years of experience.
- Five years of full-time experience, preferably in higher education.
Master's Degree and/or CPA preferred.
- Extensive knowledge of accounting, budgeting, business operations, investments, financial planning and financial reporting.
- Ability to interpret higher education governance documents and legislation and its fiscal Impact on the University.
- Experience with capital projects, legal and financial requirements, preferably in a public sector organization.
- Advanced experience related to the duties of this position or an equivalent combination of training and experience.

- Ability to communicate effectively in spoken and written standard English.
