The Division for Aging Services within the Department for Aging and Rehabilitative Services, in collaboration with community partners, provides and advocates for resources and services to improve the employment, quality of life, security and independence of older Virginians, Virginians with disabilities, and their families. Aging Services receives substantial funding from the Commonwealth to augment federal programs and to offer additional programs to older Virginians.
We are seeking a DAS Administrative Assistant to serve as the primary administrative and communications support professional for the Division for Aging Services. This position ensures efficient division operations by managing administrative processes, coordinating fiscal, procurement, travel, and HR activities, and supporting program, meeting, and project functions.
The role acts as a central point of contact for internal and external stakeholders, screens and responds to inquiries, and manages the flow of information to support timely decision‑making. Works closely with the Deputy Commissioner, division leadership, staff, community partners, and other DARS offices to advance the mission of delivering high‑quality aging services across the Commonwealth.
Duties include but are not limited to:
• Administrative & Office Operations Management
• Fiscal, Procurement, and Travel Coordination
• HR, Communication, and Information Management
• Program, Meeting, and Project Support
Other duties and/or special projects as assigned.
Completes duties and/or projects as needed or directed by supervisor.
Minimum Qualifications
Knowledge/Experience:
- Business training and experience.
- Demonstrated ability in business office practices and procedures and in managing a high-volume executive office.
- Working knowledge of office technologies and software products, including word processing, spreadsheet and database tools, digital communication platforms, Constant Contact, and design tools such as Canva.
- Knowledge of budget processes, grants, procurement, travel, and human resources procedures.
Skills/Abilities:
- Demonstrated ability to perform multifaceted analytical and administrative duties in support of executive leadership, including researching issues, gathering and analyzing information, and providing clear, actionable recommendations.
- Demonstrated ability to establish and maintain collaborative working relationships with agency staff, constituents, community partners, and the public, including individuals from diverse social and economic backgrounds.
- Ability to create, edit, and prepare correspondence, reports, presentations, and communications for executive management, and to communicate effectively both orally and in writing.
- Ability to independently prioritize work, manage multiple assignments, and perform a wide variety of duties involving complex analysis of division-wide programs and activities.
- Proven ability to handle confidential information with discretion; adapt to competing demands in a fast-paced environment; and consistently provide the highest level of customer service, professionalism, and responsiveness.
Additional Considerations:
• Knowledge of the aging network and services in Virginia.
• Experience with state agencies services.
• Working knowledge of federal, state, and agency rules, regulations, policies, and governmental relationships.
• Ability and experience in coordinating and implementing constituent services within a human services agency setting.
• Ability to devise and monitor tracking systems for all documentation submitted for review by the Deputy Commissioner.
