Job Duties

This position serves as the primary Administrative Office Specialist supporting the Director of IT and Security Systems within a shared services environment across PGH and VCBR. The role provides operational, administrative, and service management support aligned with Virginia Information Technologies Agency (VITA) standards, DBHDS policies, and ITIL-based service delivery frameworks.

The position plays a critical role in supporting IT service coordination, work order governance, vendor coordination, financial tracking, reporting, and customer engagement. This position also supports compliance with Commonwealth security, audit, and documentation requirements.

This role requires a high level of independence, discretion with confidential information, and the ability to operate in a fast-paced healthcare IT environment supporting clinical and security systems.

This position maintains and monitors the KSE (Keystone Edge) ticketing system with basic quality assessment with regards to work orders and will work very closely with VITA. This position will serve as the AOS coordinator for both departments. Provides administrative coordination for managing small facility wide projects under supervision.
Knowledge, Skills, and Abilities (KSA)
• Knowledge of IT Service Management (ITIL concepts preferred)
• Experience working with VITA or government IT environments
• Strong proficiency in Microsoft 365 (Excel, Teams, SharePoint, Outlook)
• Ability to manage multiple priorities in a fast-paced healthcare setting
• Strong written and verbal communication skills
• Ability to interpret policies and procedures and apply them operationally
• Experience with:
o Work order/ticketing systems
o Data tracking and reporting
• Understanding of:
o Basic networking concepts
o Information security principles (HIPAA awareness preferred)

Minimum Qualifications

• Experience in administrative, IT support, or service coordination role
• Demonstrated ability to work with confidential information and multiple stakeholders
• Equivalent combination of education and experience accepted

• Associate degree or higher in:
o Information Technology
o Business Administration
o Public Administration
•Experience with:
o Power Platform (Power Automate, Power Apps, Power BI)
o IT financial tracking and budgeting
o Healthcare IT environments
