Job Duties

VITA seeks an energetic, innovative, efficient and experienced professional to join its Strategy and Communications Division as the internal communications specialist.

As a critical business function, VITA’s strong internal communications program is anchored by a robust intranet full of engaging and informative content.

The role includes fundamental communications responsibilities such as writing, editing and posting to digital platforms, but also will be involved in strategic planning, measurement and analysis, process development/improvement, event execution, project prioritization and identifying growth opportunities.

The internal communications specialist will serve on a productive, fast-moving team responsible for internal, external and customer communications, reporting directly to the assistant director of communications.

The anticipated start date for this position is July 10, 2026.

This role ensures information flows effectively across the agency, supports leadership messaging, improves cross-team collaboration and enhances the overall employee experience. Through a demonstrated ability to plan and manage projects, the internal communications specialist promotes transparency, shared purpose and connection, both to other teammates and to the agency’s mission.

The internal communications specialist should be a collaborative and curious storyteller, adept at working with others to interpret complex technical jargon, explain the why and motivate. They must be responsive, flexible, able to multitask effectively and capable of meeting tight deadlines.

A self-starter with a positive, solution-focused attitude and excellent work ethic, the internal communications specialist must excel at maintaining positive relationships with colleagues at all organizational levels and partnering to produce mutually beneficial results.

The internal communications specialist will:

Manage VITA’s internal communication program to enhance information sharing through the intranet and other communications channels.

Apply knowledge of public relations, marketing, promotions and publications to produce promotional and strategic communications for projects.

Manage internal communications requests from colleagues and agency leadership, including disseminating information to the appropriate professional for execution.

Proactively partner with colleagues to identify storytelling opportunities and develop content.

Develop and successfully implement measurable, outcome-based communications plans for VITA initiatives.

Manage end-to-end execution of VITA newsletters, including managing distribution lists; gaining approvals; collaborating with subject matter experts for content development; and tracking performance metrics.

Develop internal communications by gathering, reporting and producing grammatically correct, accurate, accessible, timely and engaging information for print and digital platforms.

Assist with the planning, logistics and execution of 10+ internal events yearly.

Review/edit presentations and content for internal audiences.

Ensure all internal communications (systems and content) follow AP Style; are compliant with accessibility regulations; and adhere to the internal communications guide and VITA policies.

Ensure alignment of all communications with VITA's mission, voice and brand identity.

Produce analytics reports to show outcomes of internal communications efforts.

Other communications duties as assigned.

Minimum Qualifications

Considerable experience in a communications, PR, digital publication, marketing or similar role.

Considerable experience producing high-quality written and electronic communications, including experience using and/or editing for AP style.

Considerable experience developing and successfully implementing strategic communications plans that include measurable goals.

Considerable experience writing grammatically correct content for diverse channels and audiences.

Experience translating complex information/processes into clear, understandable language for non-technical audiences.

Considerable experience managing the functionality of, and developing/disseminating content using, content management systems (ex: SharePoint).

Considerable experience creating, distributing and tracking the performance of electronic communications/newsletters.

Experience with project coordination, including using productivity and project tracking tools.

Experience collaborating with colleagues, subject matter experts and leaders.

Additional Considerations

Experience supporting internal communications initiatives and events.

Experience ensuring accessibility compliance.

Experience with information architecture.

Experience with process improvement.

Working knowledge of the Microsoft 365 platform and its associated applications, especially SharePoint.

Working knowledge of state government functions and processes.

General knowledge of information technology related services.

Public information officer experience.
