Job Duties
Norfolk State University's Office of the University Counsel and Office of the Attorney General seeks applicants for the position of Legal Secretary. The office provides effective and high-quality legal services in keeping with the laws and policies of the commonwealth of Virginia. As the Legal Secretary and the direct supervision of the University Counsel, incumbent is responsible for the following duties and responsibilities:
- Maintain timely records of the University contracts submitted to the legal office for review.
- Typing legal documents provided by University Counsel.
- Coordinates all aspects of the University Counsel schedules by using the Microsoft Outlook system.
- Review and process all incoming correspondence in the office
- Ensure distribution of appropriate administrative staff in a timely and efficient manner with follow up on deadline material, request for draft and comments, deliver faxes and immediate action items upon receipts.
- Order office supplies and equipment using standardized process and procedures, track open and closed files, maintain up-to-date contact and mailing lists are required.
Minimum Qualifications
- Working knowledge and competencies include exceptional attention to detail, strong legal research skills, proficiency in legal software (e-discovery, document management), and excellent written/verbal communication.
- Key abilities include maintaining confidentiality, managing high-volume deadlines, and organizing case materials. Understanding legal terminology to include court filing rules, litigation processes and transactional law are essential to the role.
- The individual also must have a level of technical proficiency for specific software and able to perform legal research and ensure adequate time management with deadlines for legal filings.
- Must take copious notes.
- Demonstrated knowledge of court process and procedures

- Able to manage and direct other employees as required. Bachelor’s Degree preferred.
