Job Duties
The Virginia Racing Commission is vested with control of all horse racing with pari-mutuel wagering in the Commonwealth with plenary power to prescribe regulations and conditions under which such wagering and racing shall be conducted, to maintain horse racing in the Commonwealth of the highest quality and free from corrupt, incompetence, dishonest or unprincipled practices, to maintain honesty and integrity within horse racing.
The Executive Assistant provides high-level administrative and operational support to the Executive Secretary of the Virginia Racing Commission. By taking ownership of daily logistics, travel management, and document workflows, this role allows agency leadership to focus on broader strategic, regulatory, and budgetary priorities. The Executive Assistant ensures efficient daily operations, assists with the coordination of regulatory activities, supports the Board of Commissioners, and serves as a professional point of contact for internal staff and external state stakeholders (e.g., Secretariat, Dept. of General Services, Office of the Attorney General). The position requires excellent organization, strict confidentiality, proactive communication skills, and meticulous attention to detail.
Minimum Qualifications
• Strong organizational and time-management skills with the proven ability to handle multiple shifting priorities and anticipate an executive’s needs.
• Proficiency with Microsoft Office applications (Outlook, Word, Excel, PowerPoint), virtual meeting platforms (Zoom), and electronic signature software (Adobe Sign/DocuSign).
• Professional communication skills, both written and verbal, with the ability to tactfully interface with high-level government officials and industry executives.
• Ability to maintain confidentiality and exercise sound, independent judgment.
• Skill in drafting, editing, and formatting professional documents and reports.
• Ability to work independently with limited supervision in a fast-paced environment.
Additional Considerations
• Prior administrative or coordination experience supporting an executive, senior official, or organizational leader — including internships, campus organization leadership, or student government roles.
• Familiarity with Commonwealth of Virginia state agency administrative procedures, CAPP manual travel policies, or records management requirements is a plus but not required.
• Experience preparing management reports, executive briefings, meeting agendas, or formal professional correspondence.

Standard office environment located at VRC offices (currently in New Kent with an anticipated move to Richmond-area), with occasional travel to the track facilities in New Kent, VA or Woodstock, VA. This position may require occasional support outside normal work hours for Commission meetings, race days, or regulatory deadlines. This is a hourly wage position; hours may vary based on agency needs and seasonal racing schedules.
