The Virginia Department of Fire Programs serves the citizens of the Commonwealth by enhancing public safety through supplemental funding to local governments, providing education and training to first responders, and delivering fire prevention and life safety education through community risk reduction and statewide fire code enforcement.

About the Position
This position supports the Training and Operations Branch through the coordination of Learning administration. The Learning Administration Coordinator will maintain agency training records, respond to training inquiries, develop sound course processing procedures, support the manager, collaborate with branch and senior leadership, and serve as a liaison to internal and external training personnel. Specifically, this position is responsible for performing administrative duties to include, but not limited to ensuring all division training is approved, entered and competed into the systems; assisting with the creation and management of business process and auditing needs; processing assigned forms, training emails, course request, training sessions; processing new user approvals; resolving user activation issues; and uploading certificates. The incumbent of this position will also provide coaching/guidance to full-time session processing staff; accurately report operations progress or personnel issues that arise; act as a subject matter expert for training session processing and provide guidance to stakeholders and peers; and develop training materials related to business processes. The Learning Administration Coordinator serves as back up to the Learning Management System Administrator; creates reports; inputs data and creates business process training for internal and external staff; supports the implementation and maintenance of learning systems in collaboration with the supervisor; and works to establish standardized support tools within the system to aid in business operations. The incumbent of this position will be required to attend all critical meetings with internal and external implementation and development stakeholders.

Minimum Qualifications

  • Experience working in a Learning Management System (LMS) in an administrative capacity.
  • Knowledge of fire and emergency services field, to include, working knowledge of NFPA standards.
  • Knowledge of Pro Board & IFSAC accreditation standards.
  • Extensive experience performing data entry and administrative functions
  • Some experience mentoring, coaching, and training others.

Additional Considerations

  • Extensive experience entering complex sets of data as it relates to fire service training.
  • Experience supervising or coordinating business operations, personnel, or lateral SME groups.
  • Certifications related to working with Learning Management Systems as an Administrator or Super User/Tester.
  • Experience working in Cornerstone on Demand LMS in an administrative capacity.
  • Extensive experience collaborating with fire service training workgroups with exposure to training programs in both the field and classroom.
  • Extensive years of data management and administrative functions
  • Considerable experience mentoring, coaching, and training others.
  • Certification in training and development, learning management, or any combination of relevant experience.
