Job Duties
The Facilities Coordinator is responsible for coordinating and performing maintenance, repair, safety, and operational activities for all NCI facilities and properties. This position serves as the primary point of contact for facility-related issues, coordinates vendors and contractors, performs routine maintenance and repairs, maintains facility records, and supports facility readiness for programs, events, and rentals. The Facilities Coordinator provides day-to-day oversight of interns and temporary employees assigned to facility projects and works collaboratively with staff to ensure facilities remain safe, clean, secure, and operational.
• Coordinate and perform maintenance, repair, and upkeep activities for all NCI facilities and properties
• Conduct routine inspections of buildings and grounds to identify maintenance, operational, and safety concerns
• Perform routine maintenance and minor repairs involving building systems, fixtures, grounds, and equipment
• Coordinate preventive maintenance schedules, service requests, inspections, and repairs
• Coordinate vendors, contractors, and service providers for HVAC, plumbing, electrical, custodial, landscaping, pest control, security, and other facility needs
• Maintain records related to keys, alarm systems, vehicles, equipment, facility assets, work orders, warranties, and service agreements
• Monitor facility conditions and recommend improvements to maintain safe, functional, and welcoming environments
• Respond to facility issues and emergencies
• Support facility readiness for organizational programs, meetings, special events, and rentals
• Assist with purchasing facility-related supplies, equipment, and services in accordance with organizational procedures
• Monitor facility expenditures, maintain inventory records, and assist with budget tracking and planning
• Provide day-to-day oversight, guidance, and training to interns, temporary employees, volunteers, and contractors assigned to facility-related activities
• Communicate work assignments, priorities, safety expectations, and project timelines to assigned personnel
• Promote and maintain a safe and healthy work environment and ensure compliance with safety policies and procedures
• Coordinate with public agencies, inspectors, and regulatory entities as required
• Perform other related duties as assigned
Minimum Qualifications
• Knowledge of general building maintenance practices, including plumbing, electrical, HVAC, carpentry, landscaping, custodial services, and building systems
• Ability to safely operate and maintain hand tools, power tools, lawn and landscaping equipment, and other maintenance-related equipment
• Ability to perform minor repairs and coordinate larger maintenance projects with vendors and contractors
• Ability to read, understand, and follow safety procedures, equipment manuals, maintenance documentation, and work orders
• Strong organizational, communication, customer service, and problem-solving skills
• Ability to work independently and manage multiple priorities simultaneously
• Ability to establish and maintain effective working relationships with staff, vendors, contractors, public officials, tenants, and community partners
• Ability and willingness to obtain and maintain required certifications, licenses, and training necessary to perform assigned duties
• Valid driver's license and reliable transportation
• Ability to travel between NCI facilities and properties as needed
• Ability to respond to facility emergencies and, when reasonably available, report to an NCI facility within one (1) hour of notification
• Ability to work occasional evenings, weekends, and non-traditional hours to support facility operations, maintenance activities, special events, and emergency situations
