The Virginia Museum of Fine Arts (VMFA) is pleased to announce an opening for a Membership Coordinator within the Office of Advancement. We welcome applications from qualified professionals interested in supporting membership initiatives and contributing to our mission.
Under the leadership of the Director of Membership, the Membership Coordinator oversees key administrative and programmatic tasks that support VMFA’s membership growth and retention. The successful candidate will be a self starter with strong time management and organizational skills, superb attention to detail, and the ability to manage multiple projects simultaneously. Excellent customer service, writing, and communication skills are required.
Key Responsibilities
• Coordinate new member acquisition campaigns, including direct mail, online, and onsite promotions; analyze campaign results.
• Assist the Director of Membership with strategic planning to support consistent statewide membership growth and retention.
• Oversee and implement the monthly membership renewal program, including developing and testing retention and upgrade strategies.
• Develop and implement member surveys to assess satisfaction and gather insights about VMFA’s membership base.
• Represent VMFA at onsite and offsite events to promote membership and support audience growth.
• Provide administrative support by monitoring the membership email inbox and phone line, managing member calls, and resolving issues.
• Support budget monitoring, expense tracking, and submission of payment requests using internal and Commonwealth systems.
Minimum Qualifications
• Experience providing administrative support in a professional environment
• Experience working directly with clients, customers, or members
• Strong communication, customer service, organizational, and time management skills
• Ability to manage multiple priorities in a fast paced setting
• Proficiency with Microsoft Office, CRM software, and project management platforms
• Availability for occasional early mornings, evenings, and weekends
• Ability to work on site Monday–Friday
Additional Considerations
• Experience in museums, membership programs, marketing and communications, nonprofit work, or fundraising
• Experience with Blackbaud Raiser’s Edge or similar CRM platforms
• Experience with email marketing platforms such as Mailchimp
• Experience with Asana or other project management tools
