Come join DGS's fiscal department as a Fiscal Assistant! The Fiscal Assistant provides clerical and administrative support to the agency’s fiscal services unit. This position assists with routine financial transactions, data entry, document processing, and record maintenance in support of accounts payable, revenue/cash receipts, accounts receivable, and general ledger fiscal functions.
Job duties include, but are not limited to:
- Assistance with keying invoices, travel, revenue refunds, eVA refunds and Virginia Distribution Center (VDC) refunds.
- Assistance with updating the log with paid information from the staff's log and eVA updates.
- Receive daily cash receipts, scan checks using Teller Scan TS240 and resolve any scanning issues.
- Process daily mail, open and distribute to appropriate staff and divisions.
- Collections: assist with the collection process, for the larger Divisions (DCLS, VDC, and FLT)
- Research: assist AR staff with pulling/locating deposits/journals for back up documentation prior to entering adjustments.
- Respond to inquiries for copies of documentation or for review within the required timeframe.
This position will be located in Richmond, Virginia and must report on-site.
This position is hourly / wage and does not include benefits. All wage employees are limited to working no more than 29 hours per week on average, with a maximum of 1500 hours, over a 12-month period. Work hours may vary based on agency needs and funding availability. Agency hours are between 8:15 AM and 5:00 PM Monday-Friday.
Minimum Requirements
- Experience with office procedures, data entry, and record maintenance.
- Knowledge and familiarity with accounting or fiscal functions and procedures.
- Strong skills in the use of PCs, including experience using word processors and spreadsheets.
- Ability to perform accurate data entry and basic calculations.
- Ability to manage multiple work assignments within established timeframes.
- Ability to maintain confidentiality of financial and personnel information.
- Ability to communicate effectively and timely both orally and in writing with agency personnel, outside agency personnel, customers, and vendors.
- Ability to work independently and as part of a team.
- Attention to detail and ability to follow written procedures.
Additional Considerations
- Knowledge of Commonwealth of Virginia fiscal policies and procedures, including the Prompt Pay Act or Commonwealth Accounting Policies & Procedures (CAPP) Manual.
- Knowledge of Generally Accepted Accounting Principles (GAAP), including accrual and cash basis financials.
- Experience with automated financial systems
- Experience with general ledger accounting or reporting.
- Experience with accounts payable.
- Experience with accounts receivable.
- Experience with revenue/cash receipts.
- Experience with Cardinal financials.
- Experience with eVA.
- Experience with PeopleSoft.
