CLERK-ADMISSIONS AND RECORDS

HOURS: 7:30 a.m. – 4:00 p.m. (maximum 37.5 hrs./wk.) SHIFT: Days, Monday - Friday

SUMMARY
The Admissions and Records Clerk works under the supervision of the Coordinator of Student Services and in conjunction with TBR Shared Services Center. He/she inputs and maintains student data using the Student Information System (Banner), and Microsoft Office applications. He/she will be the primary Admissions and Records contact for prospective and current students through in person, phone, email, and virtual meetings. He/she will perform general typing and duplicating of clerical assignments, assist with preparation of reports, and record keeping.
MINIMUM REQUIREMENTS
- High school graduate or equivalent as determined by the High School Equivalency Test (HiSET)
- 3+ years of approved work experience in the field
PREFERRED QUALIFICATIONS
- Associate degree or diploma from an accredited technical training program applicable to the field
- 3+ years of work experience in higher education
- Previous working experience with a student information system
KNOWLEDGE SKILLS ABILITIES
- Strong customer service skills, effective oral and written communication skills, and excellent organizational and planning skills
- Ability to effectively utilize Microsoft Office programs and other basic computer software
- Knowledge of current office technology, equipment, and procedures
- Ability in typing, duplication, filing, completion of reports and numerical accounting skills
- Ability to establish and maintain effective interpersonal working relationships and to deal tactfully with students, faculty, staff, industry partners, and the public
- Ability to express ideas clearly, concisely, and convincingly
- Ability to exercise good judgment in evaluating situations and making decisions
RESPONSIBILITIES
- Disseminate information about the institution’s academic programs and admission process, in person, by telephone, and by email or virtual contact.
- Provide information and assist students in all aspects of student admissions, registrations, academic activity, records, and filing.
- Assist students to navigate the MyTCAT Portal to complete admission requirements and related information.
- Maintain placement and follow-up records on all non-completions and completions.
- Assist in preparations for student orientation sessions.
- Perform electronic application processing using the customer relationship management system (Slate) and student information management system (Banner).
- Assist in entering admission decision processing using the student information management system (Banner).
- Assist in student registration processing using the student information management system (Banner).
- Assist the Student Services Coordinator with student records filing, and reporting.
- Assist with periodic review of the Student Services webpage to ensure accuracy and submit changes as requested.
- Process student transcript requests.
- Process education verification requests.
- Perform student attendance and academic progression audits.
- Prepare student diplomas and certificates.
- Assist with preparations for graduation ceremony.
- Assist in compiling alumni and employer surveys for performance funding standards.
- Assist in compiling information for year-end, placement, and follow-up reports.
SPECIFIC DUTIES
- Answer incoming calls, relay messages, greet and assist visitors.
- Perform general typing and duplicating of clerical assignments.
- Assist with tours as needed.
- Participate in in-service training, workshops, and other programs which provide professional growth.
- Serve as a National Technical Honor Society (NTHS) Advisor.
- Other duties as defined by administration.
SALARY RANGE: $28,449 to $35,561 annually, commensurate with experience and TBR/Tennessee College of Applied Technology salary guidelines.
