Pay Rate: $33,060 - $40,310.00/per year. Pay will be determined based on related work experience above required. To be considered in determining pay, all related work experience must be listed on the application.

Position Summary: The purpose of this job is to ensure quality institutional effectiveness practices as they relate to assessment tools and accreditation. This role supports data collection, entry, and management for institutional effectiveness and research projects. They assist in preparing reports and maintaining databases, ensuring accuracy and consistency of data. The role involves working closely with effectiveness and research staff to support data-driven decision-making for the college.

Essential Functions:

40%​ Coordinate, design, and implement assessment activities using a variety of methodologies (i.e., surveys, departments and staff interaction, student course perceptions) to collect and analyze quantitative and qualitative data; create reports that include data analysis and results.

40% Manage the process for accessing and documenting proper credentials for qualified instructors in existing software for the college and at the state level for TNeCampus. To maintain complete records requires collaboration with deans, internal audit and vice president of Academic Affairs. Manage and maintain college wide committee meeting minutes into a data base which requires collaboration with committees.

10% Coordinate college-wide events related to strategic planning, academic audit, institutional effectiveness and special projects, and maintain related reporting processes and infrastructure through established software.

5% Maintains contractual agreement with PSCC’s WIOA Training Provider Program (federal) including submission of accurate quarterly report and management of the official eligible training programs. To maintain correct files requires collaboration with accounts payable and records.

5% Provide administrative support to the department of IEAP. Process time sheets, order supplies through PelliBiz, submit travel and prepare part time contracts and perform other duties as assigned.

Key Results Areas:

1. All credentials for full and part time faculty entered in system and verified as correct.

2. Survey developed according to industry standards and administered in an effective timeframe.

3. Survey data reports created correctly and timely.

4. WIOA data entered and verified by deadline.

5. Planned events planned and conducted within budget and meeting requirements of the event.

6. Manage and keep up to date committee meeting minutes for the College

Job Requirements: 

High school diploma with five years’ related administrative experience; Associate Degree with three years’ related administrative experience; or Bachelor Degree with one year’s related administrative experience.

Part-time work experience is calculated at 50% credit of full-time work experience.

Complexity & Creativity:

Knowledge of basic statistical methods and techniques associated with surveys and social research including design and analysis.  Proficiency in use of PC productivity software including spreadsheets, word processors, internet browsers, and desktop databases, preferably the Microsoft Office 365 suite of applications, including Outlook, Teams, Excel, Word, PowerPoint, Forms, and SharePoint.

Magnitude of Impact: 

This position works consistently with all academic divisions related to credentials. In the worst case scenario, mistakes would be identified over the long-term and could result in sanctions.  At this point, the department supervisor and a vice president would intervene.  Most mistakes are discovered earlier in semi-annual audits. In working with surveys for the multiple academic and non-instructional departments throughout the college, mistakes are discovered quickly.  In the event of a major problem, the department supervisor would intervene.

Responsibility for Accuracy:

The most typical error in credentialing would be the absence of documentation, and the employee would most likely discover this and take steps to rectify.  Accuracy mistakes in survey data could lead to a loss of confidence in the process, but most often mistakes would be discussed between the employee and the customer and be corrected. It is important for this employee to be proactive.

Financial Impact: The position has no direct responsibility for material assets.

Budgetary: The position will assist with ordering office supplies in PelliBiz, but they will have no budgetary responsibility.

Judgement and Decisions: The employee operates independently in identifying concerns related to surveys or credentials. At the point of concern related to credentials, the employee works with department deans and internal audit to clarify documentation. The employee works closely with the persons requesting survey data to address any concerns.

Nature of Contacts: The employee interacts with department deans, vice president of Academic Affairs, and department directors. The employee maintains close relationships with department administrative support to complete assigned tasks.  The employee also works with the external WIOA division of state labor and workforce development to ensure accurate programming information.

Physical Demands: The position will require extensive sitting and moderate walking.  There is little requirement for moderate lifting involving 10 pounds or less.

Hazards: The possibility of physical injury is minimal.
