Title: Executive Administrative Assistant for Financial and Administrative Affairs
Job Summary
This job supports the Executive Vice President of Financial Affairs and Student Services, the Division of Financial and Administrative Affairs, and other offices within the finance college unit.
Job Duties
• Performs finance-related support functions, including implementing process improvement activities, financial data analysis, and professional correspondence.
• Enters all purchase requests, extra pay authorizations, MOU's, and travel for the Office of Financial Affairs and employees as requested. May review travel requests, advancements, and claims for policy compliance.
• Assist the Assistant Vice President of Financial Reporting with various administrative and reporting tasks, including analyzing data reports and preparing professional reports/presentations.
• Coordinating and tracking the time and leave reporting activities of Executive Vice President of Financial Affairs and Student Services direct reports for Financial Affairs division.
• Overseeing general office operations, office equipment, office supplies, filing, and paperwork that requires approval from the Executive Vice President of Finance Affairs and Student Services.
• Assist with planning and facilitating college functions and events.
• Coordinate with the Executive Vice President of Finance Affairs and Student Services on meeting schedules, record appropriate meeting minutes, and report minutes from committees/departments that report to the Executive VPFSA.
• Coordinate with the Assistant Vice President of Financial Reporting, to ensure the Finance division’s annual Business Continuity plan and Institutional Effectiveness plans are on track by working with the appropriate department heads.
• Assist in the division’s policy and procedure annual review.
• Coordinate and track direct reports of the Executive Vice President of Financial Affairs and Student Services, projects and reporting due dates.
• Perform other duties as assigned.
Minimum Qualifications
• Associate degree in Accounting or Business field
• 3 years’ experience as an Administrative Professional
• 3 years' experience in Higher Education
• High-level experience with all Microsoft Office suites at a minimum intermediate level – (Excel, Outlook, PowerPoint)
Preferred Qualifications
• Certified Professional Secretary
• BANNER Finance and ARGOS experience
• Experience as an executive-level administrative professional
• Experience in higher education administrative processes

Pay Rate: $42,161 - $50,593 (Annual salary depending on eligible experience which is defined by the current compensation plan.)
