Job Summary
The Administrative Assistant oversees daily office operations, responds to questions from visitors and students, keeps digital records and financial reports, and helps to plan activities and events for the Student Life and Engagement Department. This position is responsible for monitoring policies and processes that control how the college's student organizations and student leadership teams operate. The position also requires managing confidential student records and assisting with preparing fiscal reports for Student Life as requested. The position reports to the Director of Student Life and Engagement.
Job Duties
• Provide administrative support to the Student Life and Engagement Division and Bear Den Help Center by managing office schedules, coordinating event calendars, and arranging meetings.
• Cross-train in key operations to effectively support students.
• Research vendor pricing for supplies and catering, prepare purchase requisitions, and track the approval process.
• Coordinate event logistics, including transportation arrangements, supply deliveries, and student engagement for event participation.
• Manage and maintain budget databases, prepare fiscal reports, and ensure accurate financial information for the Student Life and Engagement Division.
• Assemble and coordinate delivery of supplies, catering and event equipment; arrange transportation to events, and engage students while there.
• Assist with the revision and maintenance of Student Life webpages, forms, applications, and training materials
• Manage confidential student records, Student Activity Fee documentation, while ensuring compliance with college policies and procedures.
• Communicate with Student Organization advisors about fundraising dates/deadlines, mandatory fiscal reporting forms, and policy revisions.
• Assist advisors with documenting activities, travel, and fundraising, while ensuring all records adhere to relevant policies
• Maintain up-to-date Student Organizations databases for reporting purposes, compile and submit reports to Student Activity Fee Allocation committee and generate budget transfer requests for allocation of funds based on committee recommendations.
• Serve on Institutional Standing and Ad Hoc committees as assigned
• Complete other assignments as directed by supervision.
Minimum Qualifications
• Associate degree from an accredited institution and administrative assistant and/or customer service experience in an educational institution OR high school diploma (or equivalent) and 1 year of administrative assistant and/or customer service experience in an educational institution.
Preferred Qualifications
• Native Banner experience.
• Conversational ability or fluency in a second language.
Knowledge, Skills, and Abilities
• Technology Skills: MS Office suite; videoconferencing software; digital records management systems; general operating systems and data information systems
