Job Summary
Reporting to the Manager of Academic Computing, the Administrative Assistant serves as the initial contact for faculty and students. They perform administrative duties as needed for Academic Computing and support efforts and initiatives handled by the Office of Academic Computing.
Job Duties
• Serve as initial contact for the Office of Academic Computing, ascertain nature of business, and provide proper information or refer visitors to proper person.
• Answer the telephone, take messages and route to appropriate persons.
• Process mail, both incoming and outgoing, and route as appropriate.
• Maintain daily log by reviewing and processing documentation for the Managers approval.
• Coordinate the preparation and logistics for any committee meetings or in person and remote support sessions for faculty and students.
• Provide extensive scheduling, coordination, and documentation of all in-person and remote support visits. Update HelpDesk tickets as necessary to ensure completion.
• Type, proofread, and distribute correspondence, purchase requisitions, forms, reports, and other documents.
• Support efforts and initiatives handled by the Office of Academic Computing.
• Make arrangements and preparations for all Academic Computing Office’s travel, conference activities, workshops, and tours.
• Maintain and coordinate the mangers calendar and travel schedule.
• Process purchase orders and requisitions.
• Order supplies and publications.
• Receive and respond to requests for faculty, students and staff.
• Assist in the collection, organization, verification, and interpretation of information for various reports and projects.
• Assist the Manager in various capacities as liaison with potential and current students, faculty, administrators, and outside clients and constituents as well.
• Maintain confidential office filing and records management system.
• Support and serve as back up to the Office of Academic Computing
• Complete other assignments as directed by manager.
Minimum Qualifications
• Associate degree from an accredited institution and one year of administrative assistant, clerical, or customer service experience OR High School Diploma and two years of administrative assistant, clerical, or customer service experience.
Preferred Qualifications
• Bachelor's degree from an accredited institution.
• Experience working with Banner software.
• Experience working with Microsoft Office Suite, including Excel.
• Conversational ability or fluency in a second language.
Knowledge, Skills, and Abilities
• Technology Skills: MS Office suite; videoconferencing software; digital records management systems; general operating systems and data information systems
• Excellent written and oral communication skills required
• Excellent face-to-face customer service skills required
• Ability to establish and maintain effective working relationships
• Knowledge of accounts payable procedures; fund accounting principles and their applications; auditing standards and procedures
• Knowledge of office practices, procedures, and equipment
• Ability to work independently and as a team member on time-sensitive tasks
• Ability to direct the flow of a considerable volume of detailed work
• Skill in organizing and prioritizing multiple tasks required for own work and work of others, and organizational skills.
