Position Title: Administrative Support Associate
Job Summary: This is a full-time associate support position reporting to the Site Coordinator at the Boones Creek Extension Campus and provides office and clerical support for effective, efficient, and successful operation of the front office. This position works 7.5 hours per day and 37.5 hours per week Monday through Friday.
Job Duties:
- 60% - Front-Office Operations
The associate is the initial point of contact with the general public. Therefore, outstanding people and communication skills are essential. The associate must be able to multi-task, including greeting walk-ins, answering a multi-line phone system, responding appropriately to questions related to the program offerings, and the admissions process, and preparing spreadsheets or Word documents.
- Utilize appropriate phone etiquette: professional responses to incoming calls and to voicemails and emails daily
- Assist walk-ins with directions and school information
- Answer general questions and provide basic information concerning program offerings to prospective students
- Take messages and distribute them to the appropriate department, employee, or student
- Send/receive faxes and distribute them to proper personnel
- Sign for deliveries
- Copy and collate documents
- Compose and distribute communications to employees as directed
The associate provides direct support to the Vice President in researching, organizing, and drafting grant materials.
- Assist the Vice President with grant-related tasks, such as:
- Researching funding opportunities
- Organizing and formatting application materials
- Gathering supporting documentation
- Writing and drafting sections of grant proposals and related documents
- Maintaining grant calendars and submission deadlines
- Track and maintain records of grant applications and reporting deadlines.
- Coordinate with internal and external partners as needed for grant-related communications.
- Contribute to special projects and other administrative tasks as assigned
- Other duties as assigned
Minimum Qualifications:
- Technical diploma or associate's degree in a related field.
- Strong writing, editing, and proofreading skills.
- Exceptional organizational skills and attention to detail.
- Ability to manage multiple priorities and meet deadlines.
- Comfortable with collaborative work and receiving feedback.
- Must be able to maintain confidentiality and have a strong work ethic.
- Proficiency with Microsoft Office programs, including Excel, Outlook, and Word.
- Prior experience with grant writing or nonprofit funding is a plus but not required.
Knowledge and Abilities:
• Microsoft Word, Microsoft Excel, Microsoft Access, Microsoft Publisher, Adobe
• Typing and 10-key operation
• Multi-line telephone answering system
• Excellent verbal and written communication skills
• Able to conduct basic research
• Business standards for office documents
Salary: Commensurate with education and experience according to salary guidelines established by the Tennessee Board of Regents.
