Job Summary

Reporting to the Assistant Director of Admissions & Records, the Admissions and Records Associate is responsible for advising applicants on eligibility for admission, admission requirements, program options, residency requirements, and other matters related to the admission and enrollment of prospective students. They serve as a resource to students, parents, the College community, high schools, and other feeder institutions in interpreting admissions policies and procedures and responding to general questions about the College.

Job Duties

  • Responsible for the daily processing of application records and materials in the Banner computing system and the Customer Relationship Management platform, Slate (CRM).
  • Accurately upload and index documents into Slate, ensuring proper matching with applicant records.
  • Receive, download, and process incoming application materials such as transcripts, test scores, residency forms, and other supporting documents from various sources (email, electronic transcript services, postal mail).
  • Review and verify received materials for completeness, formatting, and eligibility criteria in accordance with admissions guidelines.
  • Responsible for corresponding with prospective students selected for residency classifications.
  • Evaluate and process transfer credit course evaluations.
  • Build and review transfer articulation tables within the Banner computing system.
  • Assist students, faculty, and staff with registration and dropping and adding courses.
  • Protect the security, confidentiality, and integrity of student records, adhering to federally mandated guidelines using the Banner computing system and the CRM.
  • Assist with maintaining student records in BDM software and Slate CRM.
  • Train and mentor student employees.
  • Participate in campus events such as open house, orientation, registration, graduation, campus tours, and college app week, occasionally requiring evening availability.
  • Understand and practice FERPA policies.
  • Work closely with Recruiters, Advisors, and other college staff regarding applicants' admission status.
  • Serve as the primary point of contact for student inquiries, promptly responding to questions through email and over the phone.
  • Provide front counter support by greeting and assisting walk-in visitors, answering questions, and directing traffic as needed.
  • Serve on internal and external committees as needed.
  • Occasional travel to off-campus sites may be required (Kingsport, Gray, and Elizabethton).

Complete other assignments as directed by the supervisor.

 

Minimum Qualifications

• Associate degree or higher from an accredited institution
• One year of experience with data processing in higher education or a similar field

Preferred Qualifications

• Two or more years of experience in a student-facing office in higher education
• One or more years of Banner Student experience
• One or more years of Slate CRM experience
• Conversational ability or fluency in a second language

Knowledge, Skills, and Abilities

• Technology Skills: MS Office suite; videoconferencing software; digital records management systems; general operating systems and data information systems
• Accuracy and attention to detail.
• Strong written and oral communication and interpersonal skills.
• Excellent customer service skills.
• Positive and collaborative attitude. Must be a team player willing to help in whatever way necessary to support our office and students.
• Ability to work independently and to assist in problem-solving for students, staff, and the public.
• Ability to multitask and work with frequent interruptions.
