Job Summary

The Early Alert Manager oversees the management, tracking, and assessment of the institution’s early alert system to ensure timely and effective interventions for vulnerable students. This position serves as the departmental specialist for case routing, engagement tracking, and intervention follow-up within various platforms, including:

  • Slate (CRM) – Student case management and early alert tracking.
  • Brightspace D2L (LMS) – Student engagement monitoring.
  • Ellucian Banner (ERP/SIS) – Student information system management.
  • Microsoft Forms and Power BI – Survey data collection and intervention analytics.

The Early Alert Manager collaborates with faculty, staff, and intervention specialists to ensure early alerts lead to meaningful student support. Additionally, the EAM assists the Director with intervention data reporting and analysis, evaluates the effectiveness of outreach efforts, and informs strategic decision-making.

Job Duties

  • Reports to the Director of the Office of Academic Intervention.
  • Manages the institution’s early alert system, ensuring timely routing of alerts to the appropriate intervention specialist.
  • Tracks early alert case engagement, ensuring successful case resolution with meaningful student interaction.
  • Compiles and analyzes early alert effectiveness data to measure student persistence trends and intervention success.
  • Works with Institutional Research and Enterprise Application Services to support data reporting and dashboard development.
  • Trains faculty and staff in CRM functionality and best practices for submitting and managing early alerts.
  • Serves as the department liaison to Institutional Research, Distance Learning, and Enterprise Application Services to improve data tracking and student engagement monitoring.
  • Assists in tracking QEP student participation and outcomes to evaluate intervention effectiveness.
  • Provides biweekly reports to the Director and Dean of Students summarizing student engagement trends, faculty participation, and case resolution rates.
  • Monitors student progress and intervention effectiveness, using data to improve retention strategies.
  • Other duties as assigned.

Minimum Qualifications

  • Bachelor’s degree in Higher Education, Data Science, Student Affairs, Educational Leadership, or a related field.
  • Experience managing CRM or student case management systems (e.g., Slate, Starfish, or similar platforms).
  • Experience compiling and analyzing student engagement data for program assessment.
  • Technical proficiency in data management and reporting tools.
  • Ability to work independently while supporting institutional retention initiatives.

Preferred Qualifications

  • Experience in a higher education setting supporting faculty, student services, or early intervention initiatives.
  • Experience with student success programming, retention initiatives, or academic intervention services.
  • Experience using early alert platforms to track student engagement and intervention success.

Knowledge, Skills, and Abilities

  • Expertise in early alert case routing, tracking, and intervention follow-up.
  • Strong data management, reporting, and analysis skills for student persistence tracking.
  • Ability to train faculty and staff on best practices for early alert submissions and follow-ups.
  • Proficiency in CRM, LMS, ERP/SIS, and analytics platforms to enhance intervention effectiveness.
  • Strong interpersonal and communication skills for faculty and staff collaboration.
  • Ability to assess intervention effectiveness and propose data-driven improvements.
