Responsible for performing and accomplishing moderately complex secretarial and clerical tasks for the Health Sciences programs at the DSCC Henry County Center. Assist students with basic program information.

Duties and Responsibilities:

  • Maintaining confidentiality of reports, communication, correspondence, and records for the Division. 
  • Typing of reports, letters, and records for the division.
  • Maintaining file system to include personnel, financial, statistical, student information and other important records.
  • Completing forms for purchase orders, travel authorizations and claims, and monthly leave reports for faculty and staff.
  • Monitoring budgetary spending by verifying charges and reconciling accounts on a monthly basis or as needed.
  • Maintaining adequate supplies for the division, initiating orders when needed.
  • Answering telephone and giving information to callers and routing other calls to appropriate parties, screening requests on behalf of supervisor.
  • Receiving, directing, and assisting visitors; providing procedural information and answering inquires related to operational matters.
  • Reading and determining disposition of incoming mail; composing correspondence for routine inquires; preparing letters and packages for mailing.
  • Conducting research for supervisor; compiles, analyzes and summarizes information for reports and correspondence.
  • Ordering of instructional resources for both faculty and students, including various standardized testing.
  • Serving as liaison to other departments on various operational matters.
  • Assigning tasks to work study students.
  • Serve as a backup in a receptionist role while supporting various administrative functions of the Center as needed.
  • Complete travel requests and authorizations.
  • Provide support services to faculty and students.
  • Manage office technology, i.e. copiers, fax machines, telephones, etc.
  • Assist with planning and completion of college stakeholder events.
  • Provide accurate information and pertinent forms relating to all Admissions Office and Business Office requirements in a timely manner.
  • Provide job related forms for new instructors and current faculty.
  • Establish and maintain classroom schedules and other room assignments.
  • Process key requests for faculty and staff.
  • Lift and move equipment and furniture.
  • Maintain office files that are pertinent to this position.
  • Provide minimal leadership and support to student organizations when necessary.
  • Occasionally serve as a courier between the Center, local financial institutions and area high schools as required.
  • Scan and archive student records for the Division.
  • Maintain minutes of the Division as needed.
  • Responsible for reviewing student applications, gathering all missing information, and processing the applications.
  • Prepare spreadsheets of all applicants, noting various aspects pertaining to GPA, healthcare experience, and admission test scores for specific Health Sciences program as needed.
  • Process letters of acceptance, alternate or denial for students who have applied for a Health Sciences Program.
  • Assist with the acceptance of each class, orientation of each class and gathering of admission physical forms, immunizations and other related documents.
  • Perform other duties as assigned.

Working Conditions:

Sedentary: Desk work; occasional travel may be required for college or program activities. Insignificant effort other then normal movement.  Minimal Hazard/Exposure: Standard office settings. At least minimal environmental controls to assure health and comfort.

Required Qualifications:

Ability to communicate well in oral and written English.

Qualities of integrity, initiative, and good judgment with high ethical standards.

Ability to work and communicate effectively with individuals and/or groups.

Excellent planning and organizational skills.

Computer skills in Word and Excel.

Minimum Requirements of Education and Experience:  

High School/GED graduate. 

Minimum of two years clerical experience.   

PREFERRED QUALIFICATIONS:

Associate Degree.

Experience working with Healthcare Individuals.

Three years of clerical work with working knowledge of Microsoft Word, Excel and Outlook.    

Minimum starting pay is $28,400 annually ($14.57 per hour). With additional experience pay increases to a maximum of $34,100.
