JOB SUMMARY

The Dual Enrollment Financial Aid Specialist is a part-time, temporary position responsible for the administration, reconciliation, and compliance of the Dual Enrollment and Middle College grant programs in accordance with state guidelines. Working no more than 29 hours per week, this role supports the Senior Director and Assistant Director of Financial Aid in processing awards and ensures coordination with the Director of Early Postsecondary Opportunities (EPSO) to serve high school students enrolled in college-level courses.

ESSENTIAL JOB FUNCTIONS

Dual Enrollment and Middle College Grant Administration (40%)

  • Maintain up-to-date knowledge of Tennessee Dual Enrollment and Middle College grant policies and regulations.
  • Ensure institutional compliance with state guidelines related to grant eligibility, awarding, and reporting.
  • Monitor student eligibility and academic progress related to the grants.
  • Communicate with students, families, and high school partners regarding grant processes and requirements.

Grant Reconciliation and Reporting (20%)

  • Administer and reconcile Dual Enrollment and Middle College funds through the TSAC portal.
  • Track disbursements, resolve discrepancies, and prepare necessary documentation for audits.
  • Ensure timely submission of required reports to state agencies.

Financial Aid Processing and Student Support (20%)

  • Assist in the packaging and processing of federal, state, and institutional financial aid for all students as needed.
  • Provide accurate and timely financial aid advice to students and families.
  • Support FAFSA completion efforts, especially for dual enrollment students transitioning to full-time enrollment.

Coordination with EPSO and Enrollment Services (15%)

  • Collaborate with the Director of Early Postsecondary Opportunities to collect and verify necessary student information.
  • Coordinate timelines and data flow between Enrollment Services, High School Partnerships, and Financial Aid.

Additional Support Duties (5%)

  • Perform other duties as assigned by the Senior Director or Assistant Director of Financial Aid.
  • Participate in professional development activities and maintain knowledge of financial aid best practices.
  • Support office functions during peak processing times or staff absences.

EQUIPMENT

Work activities routinely involve the use of computers, scanners, and peripheral devices.  Photocopy and other office machines are frequently used.

KNOWLEDGE, SKILLS AND RESPONSIBILITIES

  • Attention to detail and ability to maintain a heavy workload with minimal errors is essential.
  • Excellent oral and written communication skills, including public speaking. 
  • Strong organizational and time management skills. Ability to work independently with minimal supervision.
  • Proficiency with various software packages including Microsoft office suite.
  • Awareness of effective customer service practices, and the ability to implement them within an educational setting.
  • Ability to interpret and apply guidelines and regulations related to Dual Enrollment programs.

JOB STANDARDS/QUALIFICATIONS

  • High school diploma or high school equivalency diploma is required.
  • Minimum of two years of customer service experience required. Experience in higher education is preferred.
  • Demonstrated proficiency in the use of Microsoft Office, including Word and Excel.
  • Prior experience with Banner and FAST systems is preferred.

 

JOB LOCATION

This temporary position is an on-site role located in the Student Center- Office of Financial Aid, located on the main campus of Cleveland State Community College in Cleveland, TN is the primary workplace.
