POSITION SUMMARY

The Office Manager assists the Executive Director of Plant Operations & Facilities Planning, and the Director of Plant Operations in the daily operation of the Physical Plant. The duties of this position include, but are not limited to assigning work orders, dispatching calls, maintaining the key database, taking incoming phone calls, auditing approved leave, initiating purchasing requisitions, and maintaining employee files.

Essential Functions:

Holistic Student Support

  • Maintains a clean and sanitary environment in our buildings that is welcoming to students, employees, and community members.
  • Promotes, supports, and participates in student recruitment and retention efforts

Fiscal Stewardship

  • Accurately maintains various balances relative to Plant Operations to help administration avoid overspending. 
  • Initiates purchasing requisitions and reconciles against final receipt.
  • Assists the auto mechanic in maintaining the fuel log.
  • Oversees vehicle reservations for the College

Program Innovation

  • Assigns inbound work requests to the appropriate employee for completion.
  • Maintains the accuracy of the College’s key database.
  • Dispatches calls that are both emergency and non-emergency in nature.

Organizational Culture

  • Maintains a culture of consistency and fairness when dealing with all members of the campus community independent of race, gender, or sexuality.
  • Supports and promotes a culture of safety within the department.
  • Is able to work efficiently by themselves performing all duties relevant to the position such as dispatching calls, maintaining key database, taking inbound phone calls, and greeting customers.
  • Performs other job-related duties as assigned

KNOWLEDGE, SKILLS, & ABILITIES

Knowledge of:

  • Safety practices and procedures relevant to job duties

Skilled in:

  • Customer service skills (handling walk-ins, taking phone calls, calling out over 2-way radio)
  • Effective communication whether it be one-on-one or in a group setting

Able to:

  • Maintain healthy working relationships with all members of the campus community
  • Receive and champion directives from supervisors
  • Safely lift no less than 25 pounds

QUALIFICATIONS:

  • Must possess a minimum of a high school degree and have no less than 5 years of experience working in an office environment.
  • Must have a valid driver’s license.

Salary Range: $40,113 - $47,132
