Campus Location: Walters State Community College - Morristown Campus (Employees are assigned to a “home” location but may occasionally or regularly be required to work at other WSCC locations.)
Job Purpose: The Student Account Specialist 1 supports a variety of functions in the Cashier Office including backing up cashier, verifying deposits, reconciling accounts receivable and several assigned accounts, processing collections and write offs, answering telephone, coordinating mail for the department, and providing customer service.
Essential Job Functions:
- Extracts online payment reports from various software, reconcile and complete the daily payments reports; prepare and information for cashier to receipt bank wires and ACH payments; downloads/uploads ACH files, monitors and records when payments or refunds post to the bank account. Forward reports to Accounting Services.
- Coordinates collections by preparing and mailing collection notices and turning accounts over to collection agencies; managing collections between agencies, student, and Walters State; posting payments to student accounts; submitting approvals for write offs and posts to student accounts; and monitoring associated holds on student accounts.
- Receipts payments in cashiering system, completes control report and deposit slip; analyzes student/customer accounts and resolves issues; and occasionally assists with collecting dual enrollment tuition and fees (may require traveling to off-site locations).
- Reconciles assigned accounts (includes federal and state aid) and accounts receivable. Completes reports, scans and indexes accounts receivable documents. Complete check requests for vendor refunds.
- Monitors outstanding checks and unclaimed property notifications for Walters State, prepare and mail due diligence notices, complete check requests for reissuance of checks, submit report to Director: processes daily mail for department, and monitors undeliverable checks, void checks, as needed.
- Assists callers contacting the Cashier Office, reviewing account and resolving issues, as needed; updates messages for call center automated answering software.
- May perform other duties as assigned.
Required Qualifications:
- High school diploma or equivalent.
- Working knowledge of computers, basic business software, and Internet.
- Keyboarding skills, including calculator.
- Basic arithmetic skills.
- Customer service skills, face-to-face and over the phone.
Preferred Qualifications:
- Associate’s Degree in Business, Office Administration, Accounting, Banking, or Finance.
- Experience in cashiering and reconciling accounts.
- Notary Public to notarize documents upon request.

Leadership & Supervisory: The incumbent receives limited supervision. Most tasks are performed without guidance from others. No responsibility for leading or supervising others.
Environment & Working Conditions: Working conditions in the office are clean and well-lit; limited interruptions and moderate noise level. Occasional fluctuations in temperature and humidity level within the office.
Physical Demands (including requirements for travel or working nights/weekends/holidays):
- Uses computer, keyboard, and mouse intermittently throughout the workday, sometimes for extended periods of time.
- Communicates with internal and external contacts by telephone intermittently throughout the workday.
- Moves file folders, paperwork, etc. within the office; moves between printer, desk, copier.
- Squatting or standing for filing paperwork for short periods of time.
- Walking across campus to process mail, pick up deliverables, or to conduct business as needed
- Requires driving or traveling to other campuses or off-campus locations occasionally.
