JOB SUMMARY
The Admissions Associate supports the college’s enrollment goals by assisting with the intake and processing of applications and supporting documentation, such as transcripts, test scores and residency documentation. This role is primarily responsible for ensuring the accurate and timely handling and entry of applicant materials, as well providing general administrative support for the Admissions team.
MINIMUM REQUIREMENTS / QUALIFICIATIONS
- High School Diploma or High School Equivalency Diploma required.
- One year of data entry experience is required
- Computer literacy and proficiency in Microsoft Office Suite is required.
- Knowledge of Banner, Slate-CRM software preferred.
ESSENTIAL JOB FUNCTIONS
Data Entry and Management (35%):
- Accurately enter and update applicant and prospect information into CRM (Customer Relationship Management) and SIS(Student Information System) systems.
- Verify and process application materials, including transcripts, test scores, and other supporting documents.
- Scan, upload, and index admissions documents.
- Manage shared Admissions email.
- Maintain data integrity and efficient processing of applications to meet institutional deadlines.
- Ensure all admissions and prospect data processing activities comply with institutional policies and relevant regulations (e.g., Family Educational Rights and Privacy Act (FERPA).
- Maintain the confidentiality and security of applicant and prospect information.
Application and Document Processing (30%):
- Track the receipt and status of application and prospect materials.
- Communicate with applicants and prospects regarding missing or incomplete documentation.
- Process applications, including data entry, and evaluate applications with appropriate coding according to Tennessee Board of Regents (TBR) and Cleveland State requirements.
- Assess initial residency status of applicants.
- Review residency reclassification applications and approve/deny residency status updates.
- Process admissions and prospect documents necessary to complete student and prospect files.
- Withdraw applications for students no longer planning to attend Cleveland State.
- Process term changes.
Coordination and Support Duties (30%):
- Provide quality customer service to students, faculty, and staff by phone, email, and in-person with questions related to admissions and enrollment processes.
- Attend training sessions and maintain knowledge of the college computer system applicable to office functions to ensure accurate and efficient workflow.
- Collaborate with other departments such as Financial Aid and Academics to ensure accurate data sharing and reporting.
- Participate in team meetings and contribute to the development of data processing procedures.
- Support recruitment efforts by processing prospect information and maintaining accurate records of prospective students.
- Coordinate with other staff to support adequate office coverage and/or coverage at campus events.
NON-ESSENTIAL FUNCTIONS (5%)
- Must attend all college functions as required.
- Serve on various college committees.
- The appointee will be required to meet those standards now required or which in the future may be required by the Tennessee State Board of Regents and the Southern Association of Colleges and Schools Commission on Colleges.
- The appointee may be required to achieve additional skill, knowledge, or credential levels.
- Perform other duties as assigned by supervisor.

- Experience in data entry, data management, or a related field, preferably in a higher education setting.

- Proficient oral and written communication skills and strong organizational skills.
- Demonstrated experience in providing high-quality customer service.
- Ability to handle inquiries and issues professionally and empathetically.
WORK ACTIVITIES & EQUIPMENT
Work activities routinely involve the use of personal computers, scanners, and peripheral devices. Photocopy and other machines are frequently used.
JOB LOCATION
The position is an on-site role primarily located in the Student Center at the main campus of Cleveland State Community College in Cleveland, TN.
Travel will be required throughout the college’s five-county service area.
