JOB SUMMARY
The Library Coordinator supports the daily operations, outreach, and strategic initiatives of the library by overseeing public services, managing student assistants, coordinating programming and events, and maintaining administrative and circulation processes. This role ensures that library services are accessible, effective, and responsive to the needs of students, faculty, staff, and the community. Through data-driven assessment, marketing, and collaboration with campus departments, the Library Coordinator enhances user engagement and promotes the library as a central hub for learning and student success.
MINIMUM REQUIREMENTS / QUALIFICIATIONS
- Minimum of three (3) years of practical experience in customer service, administrative support, circulation services, outreach, marketing, or library programming.
- Minimum of one (1) year of supervisory or training experience, which may include relevant experience in training student workers, volunteers, or part-time employees.
ESSENTIAL JOB FUNCTIONS
CIRCULATION DESK MANAGEMENT (25%)
- Oversees daily circulation desk activities and provides frontline service to patrons.
- Trains new employees on checking materials in and out, registering patrons, reserving items, collecting fines, issuing ID cards, and assisting with library technology including but not limited to printers and copiers.
- Manages calendar settings and user records in Alma (Library Software) and Banner.
- Creates reports for fines and lost items and coordinates with the Business Office to ensure accurate billing.
- Maintains and updates circulation-related procedures in the Standard Operating Procedures Manual.
LIBRARY STUDENT ASSISTANTS' SUPERVISION (20%)
- Coordinates with Financial Aid to recruit, interview, and hire student assistants.
- Onboards new hires, maintains online training materials, and establishes workplace conduct expectations.
- Develops and assigns daily tasks and special projects that support library operations and help students build transferable skills.
- Serves as the primary point of contact for student workers, conducts performance evaluations, and approves time sheets.
ADMINISTRATIVE DUTIES (15%)
- Receives and submits invoices for payment and serves as the procurement card administrator for the library and Tutoring & Learning Center.
- Maintains inventory of office supplies and promotional materials.
- Processes and documents all library donations for the Cleveland State Foundation.
- Manages the library room reservation calendar.
- Prepares and maintains departmental documents, reports, and correspondence.
MARKETING AND OUTREACH (15%)
- Manages the library’s social media accounts by creating posts and graphics to promote services, resources, and events.
- Designs monthly physical and online displays to highlight collections.
- Creates flyers, brochures, and online guides to assist patrons with navigating the library and using available technology.
- Sets up welcome tables each semester to introduce students to the library and distribute promotional materials.
- Maintains the library’s online guide to campus and community resources.
PROGRAMMING INITIATIVES (15%)
- Leads library programming initiatives, including the PAGES student book club and Long Night Against Procrastination events.
- Coordinates with the Math Lab, Tutoring and Learning Center, Student Engagement and Support, Campus Events, Communications, Security, Facilities, and academic departments to offer programming that supports the curriculum and encourages student participation.
- Seeks funding for events, manages the event budget, tracks outreach effectiveness, analyzes participation data, and reports on program outcomes.
LIBRARY ASSESSMENT (5%)
- Produces usage reports related to circulation functions, including gate counts, patron interactions, space utilization, and circulation statistics.
- Collaborates with the Library Director to conduct user needs assessments and usability studies and uses data to evaluate services and improve library operations.
NON-ESSENTIAL FUNCTIONS (5%)
- The appointee may be required to attain additional skills, knowledge, or credentials currently required, or that may be required in the future, by the Tennessee Board of Regents (TBR) and the Southern Association of Colleges and Schools Commission (SACSCOC).
- Other duties as assigned by supervisor.

- Strong ability to evaluate situations and make decisions.
- Knowledge of integrated library system software (e.g., Ex Libris Alma).
- Knowledge of modern office practices, procedures, and equipment, with the ability to troubleshoot technical issues.
- Knowledge of library policies, circulation procedures, and best practices for library outreach and programming.
- Ability to exercise discretion and maintain confidentiality of patron and employee records.
WORK ACTIVITIES & EQUIPMENT
Work activities routinely involve the use of personal computers and peripheral devices.
JOB LOCATION
This role is an on-site position located on the main campus of Cleveland State Community College in Cleveland, TN. Occasional travel to off-campus sites within the college’s five-county service area may be required. Additionally, there may be requirements for travel within the state or across the United States for training and conferences.
