Job Summary
The Assistant Director of Admissions and Records is an integral part of the Enrollment Management team by supporting the effective and efficient operation of recruitment and Admissions and Records functions. The position serves as a functional super-user for enrollment technologies, providing subject-matter expertise, user support, and operational guidance. The Assistant Director oversees and leads the recruitment team and coordinates college-wide recruitment efforts. The Assistant Director serves as the college’s Principal Designated School Official (PDSO) and reports to the Director of Admissions and Records.
Job Duties
- Provide functional leadership for recruitment and admissions CRM use, including query and report development, targeted communications, and continuous process improvement
- Oversee and manage recruitment initiatives for traditional and non-traditional populations
- Oversee admissions processing and decision-making, including residency determination, academic credential evaluation, and resolution of application discrepancies
- Plan, coordinate, and participate in campus and recruitment events such as open houses, registration activities, and College Application Week
- Serve as the Primary Designated School Official (PDSO) for the Student Exchange and Visitor Program, ensuring compliance with Department of Homeland Security requirements for international students
- Supervise, train, evaluate, and support assigned personnel, including the development and maintenance of office procedures and training documentation
- Provide direct customer service to students and families in person, by phone, and via email, ensuring high-quality support and responsiveness
- Collaborate with the Director to develop and implement departmental procedures, goals, and objectives
- Collaborate with faculty, student support services, and Information Technology on retention initiatives, Banner testing and updates, and electronic reporting
- Ensure compliance with all applicable local, state, and federal regulations related to admissions, enrollment, records management, and FERPA
- Participate in internal and external committees and student support activities as needed
- Travel occasionally to off-campus locations (Kingsport, Elizabethton, Gray) and perform other duties as assigned
Minimum Qualifications
- Bachelor’s degree from a regionally accredited institution
- Four years of professional working experience in Higher Education Student Services
Preferred Qualifications
- Master's Degree from a regionally accredited institution
- Two years of relevant and progressive experience in Admissions and Records
- Supervisory experience
- Experience with the Banner student information system
- Functional experience with Slate or other CRM
- Conversational ability or fluency in a second language
Knowledge, Skills, and Abilities
- Technology Skills: MS Office suite; videoconferencing software; digital records management systems; general operating systems and data information systems
- Accuracy and attention to detail.
