Title: Purchasing and Contracts Analyst
POSITION SUMMARY
The Purchasing and Contracts Analyst supports the Manager, Purchasing and Contracts with a variety of purchasing and contract management duties.
ESSENTIAL JOB FUNCTIONS/JOB DUTIES AND RESPONSIBILITIES
Analyze procurement documents for accessibility compliance requirements related to digital content purchases. Coordinate vendor compliance documentation: VPAT, Conformance and Remediation Form, WCAG Checklist, etc. Reviews vendor-created content against accessibility acceptance criteria and provide actionable remediation guidance. Provide guidance and training on accessibility requirements for reviewing content from vendors against accessibility criteria. Coordinates the Contract Approval Process (e.g., non-personnel) by maintaining a record system for new, current and expired contracts.
Coordinate approvals per the authority matrix; manage signatures via e-signature tools like DocuSign. Track and monitor milestones, renewal and termination dates; send reminders and coordinate timely renewals or offboarding. Supports contract review processes by ensuring standardized language in key clauses, including indemnity, limitation of liability, insurance, privacy, service level agreements (SLAs), and termination provisions. Escalates complex or non-standard issues to the Manager for resolution. Verification of funding availability and procurement procedures compliance. Implement and maintain a centralized, searchable contract repository with full version control and audit trails. Ensure all agreements, amendments, and related documentation are properly categorized, easily retrievable, and compliant with internal policies and regulatory requirements.
REQUIRED QUALIFICATIONS
Associate’s degree
Five years’ (5) experience in an office environment
PREFERRED QUALIFICATIONS
Bachelor’s degree
Working knowledge of Banner and SciQuest/Jaggaer electronic purchasing system
Prior experience working in higher education
Experience using Microsoft Excel and Access
KNOWLEDGE, SKILLS AND ABILITIES
Ability to communicate clearly, accurately and concisely, both verbally and in writing, with high attention to detail. Excellent customer service skills on the phone, in-writing and in-person. Ability to learn and follow Nashville State and Tennessee Board of Regent policies and procedures. Ability to learn department-specific software and databases, as well as the ability to accurately perform data enter and retrieval. Advanced knowledge of WCAG 2.2 AA standards and accessibility best practices. Ability to train and mentor.

Rate of Pay: $48,562.00 - $60,703.00 depending on experience
