General Function: 

Provides general administrative support to a Dean, Assistant Dean, or Director.  Performs general office duties and clerical duties of average difficulty.  May oversee the scheduling and job assignment of temporary or student workers. 

 

Minimum Qualifications: 

High school diploma or equivalent and one-year clerical or secretarial experience in an educational or business setting. 

 

Preferred Qualifications: 

Associate degree or higher earned from an accredited institution and one-year clerical or secretarial experience in an educational, accounting or business setting.

 

Major Duties and Responsibilities:

  • Provides general administrative support for Campus Dean, Assistant Dean, Director, full-time faculty, adjunct faculty, and other campus constituencies including maintaining office supplies, mail/courier coordination, ordering of needed equipment, providing equipment/copier troubleshooting, facilitating any needed repairs from outside vendors, creation and maintenance of academic, personnel, financial, and statistical records. 
  • Provides administrative support to Dean or Assistant Dean, Director and faculty for calendar assistance, scheduling, scheduling advising meetings, arranging logistics, and coordinating travel to meetings, seminars, conferences, and events.
  • May oversee a budget account to include allocations, travel, disbursements, purchasing, verification, account reconciliation, financial reports, and communication with faculty, staff, and administration.
  • Provide support for events such as plays, performances, meetings, and other events including design/production of playbills and programs, tickets, food orders, reservations, meeting minutes, etc.
  • Coordinate with other departments, campuses, and outside organizations
  • Assist with preparation of reports and special projects including but not limited to Accreditation, Strategic Planning, Certifications, etc.
  • Other related duties as assigned

 

Knowledge, Skills and Abilities:

  • Ability to effectively use interpersonal communications skills with emphasis on initiative and execution of duties in support of the college mission in a diverse community
  • Strong computer skills to include database management, word processing, spreadsheets, and email.
  • Knowledge of current acceptable office procedures
  • Ability to organize, prioritize, schedule, and manage duties effectively and efficiently
  • Knowledge of and ability to efficiently utilize organization and time management strategies
  • Ability to maintain confidentiality of protected information.
