Title: Transcript Analyst
Job Summary
This is a full-time position working under the direct supervision of the Admissions and Records Manager. The Transcript Analyst is responsible for evaluating incoming college transcripts and maintaining accurate student records in a confidential manner. May be required to work some evening and weekends as needed.
Job Duties
- Performs preliminary assessments of submitted transcripts in Slate to verify authenticity, completeness, and institutional accreditation before final evaluation and utilizes Slate’s Reader and Material uploading tools to efficiently categorize, tag, and route transfer academic credentials
- Evaluates traditional college courses, military training and exam scores like AP, ACT scores, or CLEP in conjunction with local and statewide dual credit
- Verifies that the previous institution holds proper regional or national accreditation
- Obtains course descriptions from other institutions of higher education to send to the deans for transfer equivalency
- Ensures the entered data correctly populates to the student’s Degree Works so academic advisors can see accurate progress
- Manually evaluates and articulates official external coursework within Ellucian Banner, establishing direct course equivalencies and elective credits in compliance with university transfer policies
- Utilizes specialized Banner screens to accurately input external institutional data, attendance dates, course prefixes, and grade metrics
- Manages the accurate conversion of quarter-to-semester credit hours and oversees the system "roll" process to permanently commit transfer coursework to the student’s official academic history
- Collaborates with academic advisors, faculty, and department chairs to clarify specific course equivalencies and resolve degree audit discrepancies
- Evaluates eligibility and processes approved Academic Fresh Start applications in Ellucian Banner, ensuring the accurate exclusion of designated historical coursework from GPA calculations
- Evaluates post-secondary academic transcripts to determine student readiness for college-level coursework in compliance with state guidelines and institutional placement standards and evaluates incoming course credits to verify mastery of core academic competencies required for direct entry into program-level curriculum
- Constructs and maintains the institutional master transfer framework within Banner to reflect curriculum updates, expired courses, and changes in credit-hour structures
- May perform other duties as assigned
Minimum Qualifications
• High school graduate or equivalent and 1-2 years of records office experience
• Exceptional attention to detail with a proven track record of maintaining error-free data entry in high-volume environments
• Ability to manage strict deadlines and high processing volumes during peak enrollment cycles
• Excellent written and verbal communication skills to clearly explain complex transfer policies
• Proven ability to work independently with minimal supervision, demonstrating strong self-motivation and initiative to manage daily processing
• Demonstrates a strict commitment to maintaining the absolute confidentiality of student records in unwavering compliance with the Family Educational Rights and Privacy Act (FERPA)
Preferred Qualifications
• Associates Degree
• Knowledge of catalog and other guidelines for evaluating transcripts
• Banner, Slate and electronic transcript database experience or knowledge

• Basic math skills such as addition, subtraction, multiplication and division

Pay Rate: $30,000 - $35,829 (Annual salary depending on eligible experience, which is defined by the current compensation plan.)
