General Function: 

Provide support to the Dean of Student with student clubs, organizations and activity/events. Provide and coordinate events that create a vibrant and inclusive campus environment, while fostering a sense of belonging.

 

Minimum Qualifications: 

High school diploma or equivalent with minimum three years clerical, event coordination or secretarial experience in an educational or business setting. 

 

Preferred Qualifications: 

Associate degree or higher earned from an accredited institution and one year clerical or secretarial experience in an educational, accounting or business setting. 

 

Major Duties and Responsibilities:

  • Provides general administrative support to the Dean of Student, club advisors/sponsors, student leadership and other campus constituents. Maintain event/activities supplies, mail/courier coordination, ordering and inventory of needed equipment and supplies, travel planning and processing, provide equipment/copier troubleshooting, facilitating any needed repairs from outside vendors, creation and maintenance of financial, and statistical records. 
  • Plan and coordinate a varied range of events and activities, such as cultural events, social gatherings, workshops, and recreational activities that ensures a well-rounded calendar of student activities.
  • Assist with purchasing for activities including processing pcard orders, supply orders, Sciquest orders, and disbursements; Assist with inventory and purchasing of event supplies.
  • In collaboration with the Dean of Students, manage club/event budgets to include allocations, travel, disbursements, purchasing, verification, for student activities, ensuring financial resources are allocated effectively and responsibly.
  • Encourage and facilitate student involvement in campus activities, clubs, and organizations. Effectively communicate event details, schedules, and other relevant information to students through various channels, such as newsletters, social media, and campus announcements.
  • Collect feedback from students and stakeholders to evaluate the success of events and activities.
  • Use assessment data to improve future programs and initiatives.
  • Maintain records related to student activities, including attendance, budgets, and event evaluations.
  • Coordinate student workers or volunteers involved in organizing and executing events.
  • Provide leadership and guidance to student leaders involved in planning and coordinating activities.
  • Stay informed about current trends in student engagement, event planning, and higher education.
  • Attend workshops, conferences, and training sessions to enhance professional skills.
  • Travel to other campuses as needed to coordinate events.
  • Other duties as assigned.

 

Knowledge, Skills and Abilities:

  • Knowledge of the role and function of community colleges in their service areas.
  • Knowledge of coordination and planning of events.
  • Knowledge of applicable college policies, along with local, state, and federal laws, codes, and regulations.
  • Ability to relate effectively to people of varied academic, cultural, and socioeconomic backgrounds using tact, diplomacy, and courtesy.
  • Strong interpersonal skills and the ability to effectively communicate with a wide range of individuals and internal/external community constituents.
  • Communicate effectively, both in writing and verbally, with employees, college administrators, community members, vendors and other stakeholders.
  • Ability to work independently and manage time and resources efficiently and effectively.
  • Strong computer skills to include database management, word processing, spreadsheets, and email.
  • Ability to enhance the campus community and develop collegiate culture.
  • Ability to develop and maintain positive and effective professional relationships with faculty, staff, students, community partners and other stakeholders.
