Job Summary
Reporting directly to the Registrar, the Associate Registrar is a full-time position that blends academic records administration with technical systems oversight to ensure data integrity and compliance with state, federal, and institutional policies. Supervising support staff, the Associate Registrar will be responsible for assisting with the maintenance of BANNER registration tables, overseeing degree audits, transcript articulations, transcript processing, and National Student Clearinghouse enrollment and degree reporting. Additionally, the Associate Registrar actively evaluates functional operations, recommends workflow improvements, and leads process innovation to enhance overall student services.
Job Duties
- Assist the Registrar in leading the Records team, which performs critical enrollment functions, including registration, student progress and degree auditing, grade changes, drop/adds, enrollment data reporting, and degree certification.
- Supervise the Records team, including assessing performance, guiding day-to-day activities, and utilizing resources wisely.
- Configure and oversee automated degree audit software (Degree Works Controller, Transit, and Scribe).
- Collaborate with Registrar and IT staff on student information system upgrades and enhancements.
- Test and validate system patches, upgrades, and software migrations in collaboration with Enterprise Application Services (EAS).
- Serve as the liaison between the Registrar’s Office, EAS, Advising, Admissions, Financial Aid, and Academic Affairs.
Minimum Qualifications
- Bachelor's Degree
- Proficiency with higher education SIS software (e.g., Ellucian Banner Student).
- 2-3 years of experience in a higher education Registrar's Office or Enrollment Management division, with a strong focus on technical background.
Preferred Qualifications
- Direct experience with degree audit software (e.g., Degree Works)
Knowledge, Skills, and Abilities
- Knowledge of State/Federal regulations and policies related to student records.
- Working knowledge of student information systems, spreadsheet software, and word processing software.
- Ability to prioritize, manage multiple projects, and establish priorities and goals.
- Knowledge and comprehensive understanding of student records management principles.
Physical Demands / Working Conditions
- The work performed by this position also includes general office/administrative work. It requires the ability to operate a computer efficiently and communicate professionally on the telephone and in writing. Work performed does require some walking on campus, walking upstairs, extended periods of time sitting, and some daily instances of bending, stooping, and carrying items up to 25 pounds.
