Brief Job Overview/Summary

Under the direction of the Director of Career Education and Development, the TES Administrative Support Coordinator provides clerical and operational support for the department’s daily activities. The role assists with office operations, student-facing initiatives, budget and purchasing processes, technology platforms, and departmental programming and communications. This position ensures smooth administrative functioning and contributes to the efficiency of departmental services and resources.

Descriptions of Essential Duties/Responsibilities:

• Provide general administrative support, including scheduling, filing, report preparation, payroll processing, and meeting minutes.
• Assist with financial tasks such as reconciling accounts, purchase requests, and Chrome River submissions.
• Support student programs and resources by helping coordinate the Career Ambassadors program, Career Closet, and career readiness initiatives.
• Provide clerical support for departmental technology platforms (Handshake, Ospreys Navigate, etc.) and assist with website/digital updates.
• Help prepare marketing materials, post to social media, and coordinate communication efforts with staff and campus partners.
• Assist with data tracking for departmental reports and surveys.
• Other duties as assigned

Knowledge, Skills and Abilities:

• Ability to multi-task with limited supervision
• Detail oriented with effective organizational skills
• Ability to make independent judgments

Required Qualifications:

• Excellent Communication Skills
• High School Diploma
• Proficient in Microsoft Office (Word, Excel, Outlook, etc.)

Preferred Qualifications:

• At least one year prior administrative/office support experience
• Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manual
