Salary/Position Classification

  • $45,000 annual, Non-Exempt (Eligible for overtime)
  • 40 hours per week
  • This position works onsite at the the UND Grand Forks, ND campus

Purpose of Position

The Assistant to the Dean supports all administrative duties and activities of the Dean in support of the mission of the College. The position is critical to the efficient daily operation of the College. This includes managing the College calendar and the Dean’s calendar, supporting meetings through attendance and taking minutes. This position serves as Proxy for the Dean in UND’s HR system and other relevant areas.

This is a public-facing position that requires the ability to interact professionally with students, faculty, staff, alumni, and external community members. A successful candidate will be a problem-solver who takes initiative, communicates effectively, and possesses strong organizational and management skills.

Duties & Responsibilities

  • Oversee and manage the daily operations of the Dean’s Office, including complex scheduling, meeting coordination, and maintenance of official records and files
  • Monitor and communicate academic affairs and university deadlines, including faculty evaluations, promotion, and tenure timelines
  • Coordinate college governance processes, administer faculty voting, and ensure governance procedures function effectively
  • Serve as the primary liaison between the Dean, the Provost’s Office, university leadership, faculty, staff, students, and external stakeholders
  • Manage high-volume, confidential communications and correspondence, drafting letters, memos, and reports with accuracy and professionalism
  • Organize and support college events and meetings, prepare agendas and briefing materials, and record and distribute minutes
  • Maintain compliance with university records retention policies, manage mail systems, and oversee both paper and electronic filing
  • Provide guidance, assistance, and customer service to faculty, staff, students, and visitors to the Dean’s Office
  • Support faculty evaluation, promotion, and tenure processes, ensuring timely and accurate completion of all materials
  • Represent the Dean’s Office at meetings and on committees, fostering collaboration and effective communication across the college and campus
  • Identify opportunities for process improvement and contribute to initiatives that enhance operational efficiency and service

Minimum Requirements

  • Associate’s Degree OR three years of equivalent experience
  • One year of administrative or office experience
  • Experience with Microsoft Office Suite (Outlook, Excel, PowerPoint and Word)
  • Successful completion of a Criminal History Background Check

Preferred Qualifications

  • Bachelor’s degree
  • Five or more years of experience working in office or higher education setting
  • Proven history of working successfully with diverse populations.
  • Experience working with systems used at UND, including: DocuSign, Microsoft TEAMS, Zoom, and PeopleSoft modules
