General Information:

James Madison University’s dynamic School of Integrated Sciences (SIS) is searching for a dedicated and detail-oriented Administrative Assistant to serve as an integral part of our collaborative team. The successful candidate will support the overriding vision by providing administrative and clerical support for SIS. Primary focus areas are fiscal support for department budgets, along with providing clerical assistance in purchasing goods and services according to JMU policies.

 

Duties and Responsibilities:

The individual in this role will play a key part in ensuring fiscal efficiency within the department. They will be proactive, self-driven, and able to maintain positive and productive communication while expanding their understanding of SIS programs and university workflows.

Key tasks include:
· Provide financial support, purchasing, budget tracking, and related services for the School of Integrated Sciences’ department budgets.
· Act as a liaison between faculty and the Foundation and Madison Trust to ensure that all implementation and reporting requirements are conducted in accordance with established guidelines of James Madison University.
· Procure goods and services using department funds, including eVA (web-based state-required procurement tool) purchases and small purchase credit card transactions.
· Equipment Trust Fund (ETF) Procurements.
· Provide clerical support for the department programs Geography, Intelligence Analysis, and ISAT.
· Perform other duties as assigned.

 

Qualifications:

Required Qualifications:
· Ability to interact professionally with the university’s faculty, staff, students, and the public.
· Strong interpersonal skills and customer service experience.
· Ability to organize, prioritize, and multitask in a fast-paced environment.
· Ability to maintain a comprehensive filing system and maintain confidentiality with sensitive information.
· Thorough knowledge of Microsoft Office applications.
· Proficiency with Microsoft Excel and Excel formulas.
· Ability to ensure compliance with processing guidelines and resolving issues as they arise.
· Ability to work independently and as part of a team.
· Adaptability and willingness to assist others.

Additional Considerations:
· Administrative experience in higher education’s academic environment is beneficial, but not required.
· Knowledge of accounting principles.
· Experience with bookkeeping, meeting auditing standards, budgeting.
