General Information:
University Advising at James Madison University invites applications for a Fiscal and Operations Assistant. Reporting to the Director of University Advising, this position provides fiscal, administrative, and operational support for University Advising and affiliated advising units.
The Fiscal and Operations Assistant serves as a primary resource for purchasing, budget reconciliation, personnel transactions, office processes, and operational logistics. The position helps maintain accurate and timely business practices while supporting the effective delivery of student-centered advising services and departmental initiatives.
Duties and Responsibilities:
Fiscal Administration and Purchasing
• Process purchases, invoices, reimbursements, and transactions using Chrome River and eVA.
• Reconcile budgets, maintain fiscal records, and follow applicable financial policies.
• Work with vendors and university offices to resolve fiscal questions.
Personnel and Administrative Support
• Support recruitment, interviews, onboarding, and personnel documentation.
• Assist with ePARs, student employee records, timesheets, and payroll processes.
• Maintain accurate records and complete tasks within established timelines.
Operations, Events, and Logistics
• Coordinate logistics for meetings, trainings, orientations, events, and special projects.
• Arrange schedules, space, communications, materials, and other resources.
Office Operations and Systems Support
• Manage departmental email accounts, calendars, records, supplies, and administrative systems.
• Maintain office procedures and support advising-related systems and workflows.
Student and Visitor Support
• Provide limited front-desk support and respond to general inquiries.
• Connect students, families, faculty, staff, and visitors with appropriate resources.
• Provide backup administrative support as needed.
Qualifications:
Required Qualifications
• Experience providing administrative, fiscal, clerical, or office support.
• Experience with purchasing, budgeting, financial reconciliation, or related fiscal processes.
• Ability to manage multiple priorities, deadlines, and confidential information with accuracy and professionalism.
• Strong attention to detail and commitment to maintaining accurate records and processes.
• Commitment to continuous learning, adaptability, and supporting shared office responsibilities.
• A strong commitment to student-centered service and creating a welcoming environment.
• Excellent interpersonal, communication, and organizational skills.
• Understanding of FERPA, confidentiality standards, and institutional policies related to student records.
Additional Considerations
• Experience in higher education, student services, or another complex administrative environment.
• Experience with eVA, Chrome River, ePAR, Banner, Salesforce, or similar enterprise systems.
• Experience supporting personnel processes, event planning, and operational logistics.
