Job Summary/Basic Functions

We have an exciting opportunity to join our team as a Project Coordinator for Continuing & Professional Studies. The Project Coordinator for Continuing & Professional Studies is responsible for assisting in the implementation of programs at varying levels. This person will oversee the delivery of client and community programs. Specifically, this role will:

  • Assist with day-to-day operations in various programs under Continuing and Professional Studies department of UMW;
  • Communicates with students/participants for transcripts and troubleshooting in registration software and LMS;
  • Communicates with marketing for effective and accurate distribution of information;
  • Communicates with faculty to gather needs;
  • Prepares/maintains/organizes schedule for programs;
  • Coordinates day-of event activities;
  • Be present for contracted faculty sessions;
  • Communicates course information with the Registrar;
  • Distribute end of course surveys and communicate results with faculty;
  • Prepare document forms for faculty payment;
  • Use technology to ensure projects are timely, accurate, and complete;
  • Provide administrative support as needed;
  • Monitors enrollment in courses/workshops/seminars/sessions;
  • Review and assist in evaluation procedures;
  • Maintain records and recommend procedural changes for efficiency;
  • Assist in document preparation;
  • Other duties as assigned.

Required KSAs/Competencies/Qualifications

  • Client service-orientation, interpersonal and communication skills written and verbal
  • Ability to work within a complex organizational structure with a demonstrated ability to lead informally
  • Organizational ability and attention to detail are a must
  • Ability to devise solutions to process challenges and administrative issues
  • Ability to work independently to drive results on schedule and within scope
  • Interest in implementing new systems and procedures and evaluate the effectiveness of such procedures
  • Ability to plan, assign, and/or evaluate the work of others

Required Experience:

  • General administrative functions including business writing, basic budgeting, and proficient operation of MS Office tools, office equipment such as copy, fax, scan
  • Academic or training and development exposure

Additional Considerations:

This position requires a flexible schedule. The ideal candidate will possess:

  • Bachelor’s degree
  • Ability to direct or organize program activities
  • Knowledge of marketing principles, including promotion and public relations
  • Experience in development and design of training materials
  • Ability to think creatively
  • Understanding of project management principles
