Position Summary

Coordinate daily administrative operations of the Academic Skills department. Assists and greets all visitors and students of the Academic Skills office.

Duties/Responsibilities 

  • Provides clerical support to the Academic Skills office, to include Academic Skills specialists, tutors, and adjunct faculty.

  • Provides guidance to students, faculty, visitors, and USI staff. Provides general information for all inquiries about Academic Skills.

  • Prepares correspondence, reports, proposals, brochures, and confidential materials. Reviews outgoing correspondence for accuracy of spelling, punctuation, capitalization, and grammar.

  • Maintains TutorTrac software for monitoring tutor and student sign in and out, and tracking the work completed. Provides reports to Academic Skills, Athletic coaches, and USI professors. Maintain TutorTrac database and perform other general database maintenance, prepare system for the new semester.

  • Coordinates hiring, supervision, training, evaluation, and timekeeping of 6 to 12 front desk student workers. Responsible for scheduling, work distribution, priorities, and assignments for front desk student workers. Coordinates the completion of tutor applications, employment notification forms, tax forms, direct deposit forms, timesheets, and other forms with student tutors.

  • Prepares and processes all necessary timesheets, recap reports, and payroll forms for all employees in Academic Skills. Oversees department schedules and contract payroll/stipend payment requests for Academic Skills staff, adjunct faculty, student workers, and tutors.

  • Creates activity schedules, brochures, flyers, or other informational signs for programs or upcoming departmental events and maintains a supply of the same.

  • Serves as liaison with Academic Skills adjunct faculty by assigning office space and ordering instructional materials and supplies. Assists in the online recruitment to hire new adjunct, biweekly and part-time staff.

  • Orders and maintains office supplies, textbooks, computers, printers, and all media equipment for both Academic Skills and assigned classrooms. Assists the Specialists with the preparation of book order requests for the department.

  • Interacts with Accounts Payable for the submission and completion of appropriate purchase requisitions in BuyUSI. Collect and document receipts, file and store these records. Coordinate standing orders with purchasing annually.

  • Process and reconcile PNC credit card purchases and statements. Collect and document receipts, file and store these records. Also assist with the processing of department travel requests and forms.

  • Assists with scheduling GENS and UNIV courses. Compile UNIV class information from each of the four colleges within USI and schedule their UNIV classes. Maintains current GENS and UNIV course information and schedules in Banner. Review Faculty Freeze information for the Institutional Analytics Office.

  • Other duties as assigned.

Required Knowledge and Skills

  • High school diploma or GED required.

  • Three years office experience required.

  • Strong written and verbal communication skills required.

  • Strong interpersonal, organizational, and time management skills required.

  • Experience with computers, internet, word processing, spreadsheet and email software required.

  • Ability to work with a diverse group of internal and external individuals required.

  • Ability to maintain confidentiality required.

Preferred Knowledge and Skills

  • Associates degree preferred.

Regular Work Hours/Travel Requirements

  • Standard work hours are Monday through Friday, 8:00 a.m. to 4:30 p.m.
  • Occasional irregular or extended hours may be required.
