Position Summary
The University of Southern Indiana is accepting applications for Event Support Supervisor.
Provide onsite event support for the University Center and Griffin Center, ensuring accurate facility setup, equipment and related services are executed appropriately. Coordinate security and maintenance issues in the University Center while on duty. Supervise and train University Center student workers. Maintain University Center and Griffin Center audio/visual equipment and event supply inventory.

Duties/Responsibilities
- Provide onsite support for the University Center and Griffin Center. Supervise events by checking spaces prior to events to ensure appropriate set up, equipment and all related services are as specified by responsible event planner and are on schedule. Greet event contact prior to the event to ensure guest satisfaction and be available to event contact during the event to respond to event needs. Execute events according to the specifications on the event orders.
- Ensure all policies and procedures relevant to guest safety are followed, including but not limited to communication of relevant emergency information to building occupants in the event of emergency evacuation and shelter in place situations. Confirm room set ups comply with ADA guidelines and strictly adhere to fire code regulations.
- Provide audio/visual (A/V) support for assigned events, including but not limited to, sound board operation, video operation and Vaddio operation.
- Perform routine walk through of University Center East, University Center West, and the Performance Center and take action to resolve or communicate issues requiring repair or attention. Work closely with Facility Operations and Planning’s Maintenance Mechanic and/or other departments to maintain the visual and functional integrity of building, equipment, furniture, etc. Process emergency work orders when needed in the absence of the Special Events and Scheduling Manager.
- Attend weekly meetings with Special Events and Scheduling, and USI Dining (Sodexo) staff.
- Assist in the development and implementation of training programs for student workers. Supervise student workers while on duty and continue with on-the-job training throughout the year.
- On a daily basis, ensure the electronic monitor, located on the second floor of University Center West, is updated with complete and accurate information with the schedule of daily events. Generate daily event reports.
- Work closely with Public Safety to complete arrangements for reserved parking spaces on campus.
- In absence of the Special Events Manager, manage onsite campus shuttle operations, including but not limited to, picking up and dropping off vehicle keys for use during event, implementation of training and use of safety equipment, scheduling of student workers and coordinating time of student worker breaks, if necessary. Supervise shuttle operations during an event and troubleshoot any problems that may arise.
- Maintain accurate lost and found records and coordinate with Public Safety for safekeeping.
- Manage and maintain the A/V equipment throughout the University Center and Griffin Center.
- Maintain an accurate inventory of all event supplies.
- Other duties as assigned.

Required Knowledge and Skills
- High school diploma or equivalent required.
- Minimum of 2 years’ experience in event support or coordinating multiple projects.
- Strong active listening and clear, specific oral communication skills required. Must also possess effective, detail- orientated written communication skills appropriate for audiences ranging from University senior management and executive event sponsors to internal support staff.
- Exceptional service orientation, excellent interpersonal and relationship building skills are required, underscoring the ability to communicate effectively and work with a diverse group of internal and external clients. Must also possess a high level of social perceptiveness and diplomacy.
- Competency with all Microsoft Office applications and ability to learn other applications as needed, such as Event Management System scheduling software and Social Tables room design software. Must possess knowledge sufficient for generating professional electronic correspondence, contracts and reports as needed.
- Excellent organizational skills with a refined aptitude for details and the ability to simultaneously manage projects are required.
- Requires problem anticipation and resolution skills, together with the ability to perform all hands-on event activities as needed for troubleshooting, event preparation, and implementation.
- Must possess valid drivers’ license.

Preferred Knowledge and Skills
- Experience in hotel or restaurant event support highly preferred.

Regular Work Hours/Travel Requirements
- Standard work hours are Monday through Friday, 8:00 a.m. to 4:30 p.m.
- Occasional evening and weekend hours will be required.
- Occasional overtime may be required.
