Position Summary
To provide administrative support for the College of Nursing & Health Professions Dental Clinic.

Duties/Responsibilities
- Answer Dental Clinic phone and return calls from voicemail, schedule patients for appointments, and manage patient concerns.
- Email, fax, or mail patient records and document process in the patient's chart.
- Coordinate the patient survey process. Create and generate reports from Qualtrics.
- Collect patient payments, oversee the payment policy and nightly deposit records.
- Update patient forms by ensuring uniform font and style; upload updated versions into appropriate software.
- Create signage for the Dental Clinic reception area, including cancellation policies and learning environment notices.
- Assure Key Card access to the Dental Clinic for faculty and students.
- Maintain a lock/unlock schedule for various entry points in the Dental Clinic and related classrooms.
- Oversee Dental Clinic inventory and ordering. Coordinate and submit Purchase Orders with vendors.
- Submit work order and IT tickets. Coordinate equipment repairs through communication with companies.
- Troubleshoot software errors and coordinate vendor support.
- Update MSDS sheets in MSDS binder.
- Send letters to local dental offices and work with Procurement to sell unused dental equipment.
- Recruit, hire, train, and supervise student workers in the Dental Clinic office on appropriate software and work procedures.
- Communicate timesheet due dates and approve timesheets to ensure workers are paid.
- Respond to emergency calls from student workers.
- Provide dental staff and student support with an clinic-related needs.
- Develop and manage the clinic schedule and units in appropriate software.
- Update training materials for dental students on policies and procedures.
- Set up accounts for new faculty and student. Deactivate for faculty and students not returning.
- Gather and maintain records of faculty members' documentation for CPR, training records, active licenses/permits, and current vaccinations.
- Manage volunteer service's translators and coordinate placing student translators with patients.
- Other duties as assigned.

Required Knowledge and Skills
- High school diploma/GED.
- Two years office experience or comparable work experiences.
- Experience with microcomputers, word processing, spreadsheet, electronic mail, and Internet programs.
- Strong written and oral communication skills.
- Strong interpersonal, organization, and time management skills.
- Strong customer services skills.
- Strong attention to detail and the ability to multi-task. Must possess the ability to prioritize work requested from all faculty in a timely manner.
- Strong problem solving skills.
- Ability to be flexible and the willingness to learn new responsibilities in a short time.
- Ability to apply skills learned to similar activities.
- Ability to work in a team environment and the flexibility to move from one project to another.
- Ability to work cooperatively.
- Ability to work with a diverse group of internal and external individuals.

Preferred Knowledge and Skills
- College degree or some college coursework.
|
Regular Work Hours/Travel Requirements
- Standard work hours are Monday through Friday, 8:00am – 4:30pm.
- Hours may be adjusted for program/center coverage needs.
- An occasional change in schedule and/or overtime may be required.
