Position Overview

The Senior Executive Assistant is responsible for providing executive, administrative, and analytical support to the Vice President of Institutional Advancement. The selected candidate coordinates administrative functions on behalf of the vice president while maintaining confidentiality, business acumen and adherence to university policies and procedures. Additionally, this position will support various core administrative support areas within the Office of Institutional Advancement. Minimum Qualifications

  • Bachelor's degree and three (3) years of related experience; or any equivalent combination of education and experience.

Knowledge, Skills and Abilities

  • Skill in completing assignments accurately and with attention to detail.
  • Ability to work under pressure and meet close deadlines.
  • Ability to set priorities and complete assignments on time.
  • Ability to analyze, organize and prioritize work while meeting multiple deadlines.
  • Ability to analyze and prepare documents, reports, and correspondence.
  • Ability to prepare concise reports.
  • Ability to make arithmetical computations and tabulations.
  • Skill in using computer applications including spreadsheet, database and word processing software.
  • Skill in editing documents for correct grammar.
  • Skill in giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.

Preferred Qualifications

  • The successful candidate will demonstrate knowledge in project planning and management and can work under pressure, adjusting to change, managing multiple tasks, and coordinating the work of others.
  • This position will manage complex records, assemble and organize data of complex nature, and prepare and submit reports in acceptable formats.
  • The successful candidate will conceptualize, plan and organize multiple programs and assignments and work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.
  • This is a front-facing position, and the candidate must demonstrate the ability to develop and maintain outstanding working relationships with internal and external constituents.

Job Duties:

  • Manages and directs office services, including correspondence, travel, personnel actions, purchasing, records management, scheduling, meeting support, and other items as needed. 
  • Provides administrative support to the vice president, including drafting and managing correspondence and communications, compiling reports, maintaining records and other documents, and managing the executive's calendar.
  • Schedules and coordinates meetings for the vice president, including drafting agendas, preparing materials, taking minutes, and providing oversight for venue, agenda and technology needs. 
  • Tracks and reconciles departments expenditures, and reviews budget reports to recommend and develop budget modifications. Coordinates travel arrangements for vice president and department leadership
  • Greets visitors and manages communication to appropriate parties. Identifies and recommends improvements for administrative procedures and implements changes as appropriate.
