Department Summary

The Office of Research Compliance (ORC) at the University of North Texas Health Science Center is located within Research Administration and the Division of Research. The ORC works with offices responsible for specific components of research compliance and university research oversight committees such as the Institutional Review Board, Institutional Biosafety, Institutional Animal Care and Use, Research Conflict of Interest committees and the Export Control Office to ensure the responsible conduct of research and compliance with university policies and federal regulations related to research activity. The office oversees development and implementation of policies, procedures, and educational activities which satisfy university policies, state, and federal regulations governing the conduct of research. The ORC is responsible for monitoring regulatory updates and making recommendations to the university to ensure compliance.

Position Overview

The Office of Research Compliance (ORC, which includes the North Texas Regional Institutional Review Board [NTR IRB], the Institutional Animal Care and Use Committee [IACUC], Research Conflict of Interest Committee [RCOI], and oversees Research Integrity [RI]), is seeking to hire a Research Compliance Business Coordinator to join our team. This position is responsible for providing executive, administrative, and analytical support to the ORC. Other tasks include assisting with special projects and budgetary activities, coordinating the collection and analysis of data and the preparation of materials for meetings and conferences, identifying issues or problems and researching solutions within specific management areas. Duties reflect substantial variety and complexity. Assignments are broad in nature and usually require creativity and originality. The incumbent will serve as a resource for others in the resolution of complex problems and issues. Additional tasks may include: review of initial project submissions for completeness and clarity; providing initial follow-up with researchers and investigators regarding their submissions; creating database records for new studies received; participating in weekly process improvement huddles and projects. In addition to working closely with the leadership and team members within the ORC, this position may also communicate with other units within the Division of Research and Innovation (e.g., Office of Sponsored Programs, Finance and Accounting, HSC Next, DLAM, etc.) at HSC as well as research collaborating departments within HSC and externally.

Minimum Qualifications

  • Bachelor's degree and three (3) years of related experience; or any equivalent combination of education and experience.

  • Strong analytical and problem-solving skills.
  • Ability to be self-sufficiency and an ability to work with minimal supervision.

Job Duties:

  • Serve as a point person for maintenance, mailing, supplies, and bills within the department. Oversight and provision of general administrative support to departmental operations, including purchasing, business records, travel, office equipment and supplies and management of administrative office. This also includes obtaining appropriate approvals for expenditures. May be required to coordinate with IT support partner on all office equipment needs. 
  • Assist in organizing and scheduling meetings and appointments. Support all meeting planning and preparations for various research compliance committees (NTR IRB, IACUC, RCOI, RI), in addition to other ORC meetings. This may include scheduling meetings, preparation of agendas and meeting materials, coordinating preparation of meeting space(s) and catering for meals, preparation of meeting minutes, and following up on action items. 
  • Prepare invoices, reports, memos, letters, communications, financial statements and other documents, using word processing, spreadsheet, database, presentation or other electronic software. This includes invoices for external clients for services provided by the NTR IRB or other areas of ORC. Aids in managing relationships with vendors and service providers, ensuring that all items are invoiced and paid on time. 
  • Manage incoming communications from various institutional and external partners. This includes answering phone calls and responding to routine requests and questions as appropriate or triage to appropriate parties or take messages. This may include requests or questions from within ORC, other units from within the Division or the University, or external stakeholders and customers. In addition, open, sort, and distribute incoming correspondence including, but not limited to, mail and email. 
  • Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution. This may also include initial review of new submissions to the NTR IRB for clarity and completeness and following up with investigators if additional items are needed. File and retrieve research administrative documents, records, and reports, and create database records/files as needed. Incumbent will also maintain records management database systems.
  • Manage and direct office services, such as records, departmental finances, budget preparation which may include review and analysis of budget reports and preparing and developing budget modifications and recommendations, personnel issues, and housekeeping. Incumbent will assist in managing the office budget, ensure accurate and timely reporting. This also includes preparation of electronic payroll action requests (ePARs) and other human resource documentation, and interaction with Human Resources staff. 
  • Other tasks include, but are not limited to: Organize office operations and procedures where necessary; Resolve administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions; Assist in planning best allocation and utilization of space and resources, reorganizing current premises; Collaborate with leadership to assist in development of policies and procedures that affect the use of supplies and facilities; Participate in department weekly process improvement huddles and activities.
