The University of North Texas at Dallas Police Department (UNT Dallas PD) is committed to providing a safe, secure, and welcoming environment for all students, faculty, staff, and visitors. Operating as a full-service, state-certified law enforcement agency, UNT Dallas PD upholds the highest standards of professionalism, integrity, and community service.

Under the leadership of the Chief of Police, the department is staffed by licensed Texas peace officers and civilian personnel who work collaboratively to promote campus safety through proactive patrols, emergency response, crime prevention initiatives, and educational outreach. Officers have full arrest powers and maintain strong working relationships with local, state, and federal law enforcement partners to ensure a coordinated approach to campus security.

UNT Dallas PD offers a variety of services including 24/7 patrol coverage, emergency management coordination, crime reporting, campus safety escorts, lost and found, and participation in community engagement events. The department also plays a critical role in the university’s emergency preparedness planning and response.

Position Overview

The University of North Texas at Dallas invites applications for the position of Senior Administrative Coordinator. This is senior level responsible administrative office work. An employee in this class performs a variety of administrative support tasks that are nonroutine and nonrepetitive in nature, and require the use of considerable independent judgment and initiative. The individual is usually responsible for determining methods and procedures to be used, priority of assignments, and necessity for review by an administrator. Work includes public contact in interpreting and promoting the departments programs and rendering administrative decisions. Work is performed under general supervision, with assignments typically reflecting continuing responsibility for designated activities. 

Minimum Qualifications

Bachelor's degree and five (5) years of highly responsible and varied office administration or business management experience; or any equivalent combination of experience, education, and training.

Knowledge, Skills and Abilities

Exceptional communication and interpersonal skills. Advanced written communication skills. Advanced Microsoft Office skills. Knowledge of accounting/budgeting procedures. Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others. Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats. Ability to conceptualize, plan and organize multiple programs and assignments effectively. Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness. Skill in developing and maintaining good working relationships. Knowledge of policies, practices, procedures and terminology of assigned function. Supervisory skills.

Preferred Qualifications

  • Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, or presentation software.
  • Answer phone calls and direct calls to appropriate parties or take messages.
  • Review and analyze budget reports, prepare and develop budget modifications and recommendations.
  • Attend meetings to record minutes.
  • Greet visitors and determine whether they should be given access to specific individuals.
  • Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
  • File and retrieve corporate documents, records, and reports.
  • Open, sort, and distribute incoming correspondence, including faxes and email.
  • Make travel arrangements.
  • Prepare responses to correspondence containing routine inquiries.
  • Prepare agendas and make arrangements, such as coordinating catering for luncheons, for committee, board, and other meetings.
  • Coordinate and direct office services, such as records, departmental finances, budget preparation, personnel issues, and housekeeping.

Required License/Registration/Certifications

Bachelor's degree and two (2) years of related experience; or any equivalent combination of education and experience.

Job Duties:

  • Provides oral and written interpretations of policies and procedures.
  • Develops, schedules, and plans the processing of work.
  • Coordinates the gathering of information and preparation of schedules, reports, and analyses.
  • Plans or edits brochures or official publications.
  • Supervises inventories of supplies and equipment.
  • Maintains personnel, payroll, and budget records.
  • Organizes, assigns, trains, and supervises the work of others.
  • Performs secretarial functions for an administrator.
  • Assists in accounting for funds expended and to be spent for supplies, equipment and personnel.
  • Assists in preparation of annual budgets.
  • Supervises the maintenance of departmental facilities.
  • Prepares correspondence and conducts personal interviews.
  • Prepares purchase orders and approves invoices for equipment and supplies.
  • Approves travel vouchers and accounts for the expenditure of travel funds.
  • Serves as departmental representative in meetings and interdepartmental contacts.
  • Coordinates arrangements for conferences, programs, meetings, special events.
  • Provides administrative support for special projects and accreditation management.
  • Makes recommendations for and implements changes in policies and procedures.
  • Observes safety and security precautions appropriate to work performed.
  • May supervise the day to day duties of student workers.
  • Responsible for upkeep of departmental website information.

Physical Requirements:

  • Communicating with others to exchange information.
  • Lifting and Moving objects up to 20 pounds.
  • Moving self in various positions to perform tasks in tight and confined spaces.
  • Sedentary work that primarily involves sitting/standing.
  • Moving about to accomplish tasks or moving from one worksite to another.
  • Repeating motions that may include the wrists, hands and/or fingers.
