Position Overview

The Senior Administrative Coordinator will report directly to the Assistant Vice President, assisting Advancement Services, Donor Relations and Lifelong Learning and Community Education as needed. This position is responsible for providing executive support, project management, unit procurement support and will serve in a budget management capacity for the unit. This position will interact with internal and external campus partners while maintaining professionalism, sensitivity to confidentiality and campus protocol.

Minimum Qualifications

Bachelor's Degree and five years' of highly responsible and varied office administration or business management experience; or any equivalent combination of experience, education, and training.

Knowledge, Skills and Abilities

  • Exceptional communication and interpersonal skills.
  • Advanced written communication skills.
  • Advanced Microsoft Office skills.
  • Knowledge of accounting/budgeting procedures.
  • Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others.
  • Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats.
  • Ability to conceptualize, plan and organize multiple programs and assignments effectively.
  • Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.
  • Skill in developing and maintaining good working relationships.
  • Knowledge of policies, practices, procedures and terminology of assigned function.
  • Supervisory skills.

Preferred Qualifications

  • Budget experience within the UNT System.
  • Administrative and/or executive support experience within the UNT System.
  • Ability to prioritize and effectively manage multiple projects.
  • Project management certification or experience.
  • Excellent writing, proofing and editing skills.
  • Prior experience in nonprofit or higher education fundraising.
  • Experience with Blackbaud Raisers Edge NXT or similar CRM.

Job Duties:

  • Manages scheduling and meeting preparation for the Assistant Vice President and other directors on the team, including multiple complex recurring meetings.
  • Assists unit directors with recurring and onetime project management as needed.
  • Serves as budget administration for the unit managing budget tracking, reporting, and purchasing (pcard, requisitions, invoice tracking/payment, etc.).
  • Project management including assisting with the launch of new systems and processes to create efficiencies.
  • Other duties as assigned.
  • Assists with student assistant hiring and onboarding via HandShake.
  • Manages travel reimbursement for the team.

Physical Requirements:

  • Communicating with others to exchange information.
  • Lifting and Moving objects up to 20 pounds.
  • Sedentary work that primarily involves sitting/standing.
  • Repeating motions that may include the wrists, hands and/or fingers.

Environmental Hazards:

  • No adverse environmental conditions expected.

Work Schedule:

Monday through Friday 8:00am to 5:00pm; typical 40-hour work week
