Department Summary

The College of Liberal Arts and Social Sciences (CLASS) is the largest academic unit on the UNT main campus in Denton. We provide much of the core curriculum for undergraduates and offer bachelors, masters and doctoral degrees. The CLASS Executive Dean’s Office works to assist all academic departments in CLASS to support the teaching, learning, and research efforts of each unit.

Position Overview

Perform a variety of administrative support tasks and projects regarding purchasing, scholarships, & faculty development. Assist the Divisional Deans of the College of Liberal Arts and Social Sciences (CLASS). Act as GAB building rep.

Minimum Qualifications

Bachelor's degree and one year of highly responsible and varied office administration or business management experience; or any equivalent combination of experience, education, and training

Knowledge, Skills and Abilities

Exceptional customer service skills. Advanced Microsoft Office skills. Knowledge of accounting/budgeting procedures. Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others. Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in appropriate formats. Ability to conceptualize, plan and organize multiple programs and assignments effectively. Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness. Skill in developing and maintaining good working relationships. Knowledge of policies, practices, procedures and terminology of assigned function.

Preferred Qualifications

Higher education experience a plus. Excel proficiency and Power Bi reporting software experience a plus.

Job Duties

  • Traditional support functions for an administrator including screening calls, making appointments, greeting visitors, making arrangements for group meetings or events, typing, filing, preparing travel documents as requested. 
  • Supports the Divisional Deans in role as chair of the CLASS scholarship committee; follow institutional rules, MOU requirements, prepare award letters, makes awards requests to Student Financial Services, manage scholarship budgets, prepare required paperwork to setup new scholarships. Be able to use financial reporting software to determine availability of funds in each scholarship. 
  • Work with departmental staff on itinerary of faculty job candidates, particularly as it relates to interviews with the Divisional Deans. 
  • Supports the Divisional Deans in role as Chair of the CLASS Faculty Council including setting meetings, sending meeting notices and agenda to members, taking minutes, support special projects and activities of the Faculty Council as necessary. 
  • Organizes alongside the CLASS Special Event Coordinator and the Divisional Deans a variety of special events and activities such as lunches with tenure track faculty, new faculty orientation and reception, Chair reviews, new chair orientation, PT sessions, some aspects of the semiannual general faculty meetings. 
  • Sets internal deadlines and sends announcements to faculty about a variety of awards and funding opportunities from CLASS and from other offices on campus. 
  • Responsible for annual office space survey and for keeping records up-to-date year-round. In particular, maintain GAB space occupancy records and assist Associate Dean with space allocation decisions; includes ability to use FMS Interact and related space inventory software/systems. 
  • Work at the front desk as needed, in the absence of the CLASS Executive Dean's Office front desk staff member. Coordinate front desk coverage with other staff in the office, as needed. As a backup receptionist, know the cash handling policies and procedures and take the required annual cash handling training. 
  • Purchasing activities via Pcard and must take the required annual pcard training. Will also submit requisitions for the Dean's Office through UNT's marketplace/ePro. 
  • Serve as the Building Representative for GAB (General Academic Building). These responsibilities include distributing information from Risk Management, Facilities, or the UNT Police to building residents, managing key requests for the building, reporting building maintenance issues to appropriate offices.
  • Assists the CLASS Admin Coordinator with the annual asset inventory process for the Executive Deans Office in accord with University procedures. Helps the Admin Coordinator to keep the equipment and custodial information up-to-date on a year-round basis. 
  • Coordinates occasional or intermittent activities such as CLASS committee elections or grievance hearings managed by the Divisional Deans or activities related to the Divisional Deans' teaching or scholarly activities. Requires flexibility to determine what is needed for each type of activity as they arise.
  • Be a good team member within the Executive Deans Office by assisting other staff as needed, particularly when the Assistant to the Executive Dean is out of the office. Also assist the staff in the CLASS departments with questions and training on the areas of responsibility associated with this position.
