Department Summary

The Provost Office and Academic Affairs are the core of the University of North Texas at Dallas academic institution. UNT Dallas is home to instructors who combine scholarship and real-world professional experiences in the fields of business, counseling, education, human services, law and more. Our faculty are committed to teaching and each faculty member is accessible to his or her students both inside and outside of the classroom.

Position Overview

The University of North Texas at Dallas invites applications for the position of Administrative & Commencement Coordinator in the Office of the Provost and Vice President for Academic Affairs. This position provides critical project, budgetary, commencement, and administrative support to the Provost’s Office and Academic Affairs.

The coordinator will prepare and monitor budgets, support financial reporting, oversee all aspects of commencement planning and execution, and coordinate projects that advance the goals of Academic Affairs. In addition, the position ensures smooth operations in the Provost’s Office through effective calendar coordination, communication, and administrative support.

The role requires strong project and event management skills, as well as budget preparation, reconciliation, and analysis, and the ability to coordinate complex logistics across multiple stakeholders. A collaborative and solutions-oriented mindset, along with strong communication skills, is essential for success.

Minimum Qualifications

Bachelor's degree in related field and two years of professional related experience; or any equivalent combination of education, training, and experience.

Knowledge, Skills and Abilities

• Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and budget/accounting systems.
• Strong knowledge of budget development, financial tracking, reconciliation, and reporting.
• Demonstrated event planning and execution skills, particularly in managing large-scale, high-profile events such as commencement.
• Demonstrated experience in administrative coordination, budget/financial management, or academic administration.
• Ability to manage multiple projects, monitor progress, and meet deadlines under pressure.
• Strong organizational and project management skills, with the ability to handle multiple priorities and meet deadlines.
• Excellent written and verbal communication skills; ability to prepare clear reports, correspondence, and presentations.
• Ability to collaborate effectively across departments and coordinate with faculty, staff, students, and external partners.
• Professional judgment, discretion, and ability to handle sensitive information.
• Team-oriented, proactive, and resourceful approach to problem-solving.

Preferred Qualifications

 

Required License/Registration/Certifications

Bachelor’s degree in Business Administration, Accounting, Finance, Public Administration, Management, or a closely related field.

Job Duties

  • Oversee and manage commencement preparation and execution, including planning, logistics, coordination of vendors and campus partners, and ensuring the successful delivery of all aspects of the ceremony.
  • Coordinate and manage projects within the Provost’s Office and Academic Affairs, including tracking milestones, monitoring timelines, and preparing status reports.
  • Prepare, monitor, and reconcile Academic Affairs budgets; assist with planning and financial forecasting.
  • Develop, compile, and present budget reports and analyses to support decision-making in Academic Affairs.
  • Support the Provost’s Office with administrative functions, including scheduling, correspondence, and communication with internal and external stakeholders.
  • Manage the Provost’s Office calendar needs, ensuring effective coordination of meetings, events, and deadlines across Academic Affairs.
  • Assist with payroll, purchasing, and related budgetary processes.
  • Coordinate the preparation of reports, presentations, and documents for meetings, committees, and leadership review.
  • Track and maintain records related to faculty, staff, and departmental requests.
  • Ensure timely communication and follow-up on action items across projects and initiatives.
  • Maintain confidentiality and professionalism in handling sensitive information.
  • Perform other related duties as assigned.
