Department Summary
The Department of Physician Assistant Studies is the academic home for students, faculty and staff involved in the Master of Physician Assistant Studies degree curriculum. Upon successful completion of the curriculum, graduates receive an MPAS degree. Located for more than 20 years in the heart of the Fort Worth, Texas, Cultural District, our UNT Health Physician Assistant Studies program has proudly helped shape the PAs that make a difference in our community. We are continually improving as we create experiential learning opportunities that prepare our graduates to begin an exciting medical career in one of the top professions in the country.

Position Overview
The Department of Physician Assistant (PA) Studies in the Texas College of Osteopathic Medicine at UNT Health is seeking an Administrative Business Coordinator to join the team. Serves as a key strategic and administrative support and partner for the Chair of the Department of PA Studies. Operates as both an internal and external liaison for the department and is responsible for ensuring seamless, transparent, effective operations, clarity of information, and facilitates and monitors the administration of the department. Manages operating unit, including financial reconciliation, tracking, and reporting, and assists with the preparation and management of department budget, faculty workload database maintenance, data tracking, and analysis.

Minimum Qualifications
Bachelor's degree and three (3) years of related experience; or any equivalent combination of education and experience.

Job Duties
- Executive support for the Department Chair of PA Studies, including travel planning, travel expense submissions, and other travel support needs; purchasing, correspondence, and other executive needs.
- Operational administration for the Department Studies; contract liaison, purchasing, and purchasing reconciliations; official department time-keeper; support hiring manager in the process with HR and faculty affairs, department inventory transactions, technology needs, compliance needs, and any other related duties for the office.
- Responsible for or assists with financial and operational functions including, but not limited to, purchasing, budget, travel, safety, information technology, and compliance.
- Monthly reconciliation of all accounts in Axiom.
- Tracks/monitors and reports CME, travel spending, state funds, and reviews unit financials, and financial reports through Axiom while monitoring available funds with transparency to the College Business Office and Chair.
- Monitor IT replenishment in partnership with College Business Office and facilitates replacements with IT and other issues.
- Communicates reminders and follow up for unit regarding compliance needs, policy updates, and other changes from the university.
- Budget preparation, review, monitoring, and oversight for unit.
- Fully understands and facilitates contracts, tracking and reconciliation of faculty timesheets, ensures alignment and reports issues/concerns.
- Oversee administration operations by identifying needed resources and setting priorities; manages flow to ensure prudent management of resources.
- Serves as the departmental subject matter expert and administrative lead to ensure operational continuity within the unit aligns with the college priorities and policies as well as with the university.
- In partnership with the College Business Office, develops, implements, and monitors cross-training plan within the department for consistency of operations and knowledge across administrative positions.
- Regularly reviews business continuity plans with other Business Coordinator(s), Business Manager, Senior Executive Assistant, and Senior Academic & Business Director to ensure cross-training and cross-functionality are prioritized.
- Ensures business continuity plans are up to date, including annual review of staff job descriptions.
- Other duties as assigned, including backing up other executive assistants as needed to ensure Business Continuity Plans and expectations are met.
